Operations Administrative Specialist

This position requires an active Top-Secret clearance.

The Operations Administrative Specialist will support MARFORPAC, Security Directorate in managing the administrative requirements of the Command Security Directorate.

Operations Administrative Specialist Responsibilities Include:



  • Performs a variety of clerical, administrative, and security administrative support in the management functions of the Command Security Directorate.

    • Preparing correspondence with a computer or automated systems.
    • Maintains subject matter files and records with record management practices
    • Receives visitors and telephone calls for the section.
    • Processes incoming and outgoing Command required administrative correspondence with the correct routing sheet as necessary.
    • Create, update, edit, format, and print reports, correspondence, office forms, spreadsheets, notices, and other documents with a computer or automated systems.
    • Compile files for narrative or statistical reports from general instructions.
    • Receive, log, and route incoming taskers, and maintain necessary suspense controls.
    • Maintain, on a current basis, various alphabetical and/or subject files, procedures, regulations, manuals, and directives.
    • Create copies, edit, retrieve, store, and print a wide range of documents in final form.
    • Create a variety of documents and reports such as news briefs, presentation briefings, flyers, preliminary text layout, and other associated correspondence as directed.
    • Provide daily status report of tasks accomplished, pending, outstanding, or requiring extension or additional guidance clear, correct, timely and understandable manner.

  • Update, maintain purchase request and work request logs for the directorate.
  • Follow up on outstanding purchase and work requests with appropriate division.
  • Compile files for narrative or statistical reports from general instructions.
  • Maintain office files in subject and chronological order; receives, routes, and distributes mail to appropriate individual; maintains and replenishes office supplies as needed.
  • Maintains Administrative tickler for Admin requirements such as data calls,
  • Provide weekly written status report of daily tasks accomplished, pending, outstanding, or requiring extension or additional guidance.
  • Review manuals on policies, directives, and studies on Office Administration procedures and requirements to ensure directorate operation procedures are up to date and all directorate personnel are aware of the requirements.
  • Provide written Office Administration procedures and requirements update/change status on a monthly basis.
  • Assist Purchase Card holder in making purchases and maintaining purchase documentation for the Security Directorate.
  • Makes written recommendations for improved work methods, organizational structure, records, and files management processes, staffing patterns, procedures for administering administrative services, guidelines, and procedures.
  • Conducts analyses, reports, surveys, inquiries, and evaluations regarding Office Administrative processes and procedures for continuous process improvement.
  • Provide written consolidated Office Automation task status and recommendations report on a quarterly basis.
  • Complies all recommendations for improved work methods, organizational structure, records, and files management processes, staffing patterns, procedures for administering administrative services, guidelines, and procedures into a written report.
  • Provide written consolidated report of all Office Automation tasks and recommendations completed, outstanding, extended, requiring extension or additional supervisor input for completion for the fiscal year.
  • Produce meeting minutes for meetings relevant to MARFORPAC Security Directorate clerical and administrative support.
  • Provides security administrative support to Command Security Directorate.
  • Reviews and submits outbound Visit Request ensuring all information is detailed and accurate prior to submission.
  • Reviews inbound Visit Requests, Foreign Visit Requests, and/or other Visit documentation to is information is detailed and accurate.
  • Determine purpose of visit or work to be performed.
  • Notifies Visits POC/host to verify need-to-know for access to command spaces.
  • Arranges for visitor badge issuance and access as required.
  • Control, prepare, issue, and recover identification badges that allow access of civilian, military, contractor personnel, and visitors into Command spaces using an electronic badging access control system. (EBACS).
  • Review Personnel Check in documentation to ensure information is accurate and correctly reflects T/O and billet requirements for investigations eligibility and access.
  • Conduct personnel check out documentation ensuring that departing personnel have completed all required action to check out of the Command.
  • Maintain a variety of files, control registers, and records to provide control of sensitive information required for the administration of the security program.
  • Document all personnel suitability adjudicative determinations or recommendations in the relevant automated information systems.
  • Update personnel security databases.
  • Completes assigned cases within established group timeframes.
  • Maintains group electronic mailboxes.
  • Provide daily status report of tasks accomplished, pending, outstanding, or requiring extension or additional guidance clear, correct, timely and understandable manner.
  • Create electronic personnel security record (PSR) for new personnel.
  • Upload required personnel security documentation into the correct PSR.
  • Assists with provides administrative support to Command Security Branch Staff for Check in and check out of Command Personnel.
  • Prepares check in and check out documentation as required.
  • Use a variety of methods to track, monitor, and maintain PSRs concerning the status of pending, current, and in-progress investigations, and reinvestigations for all command personnel. Provide written notification of investigation/reinvestigation and eligibility status changes and Defense Information System For Security (DISS) personnel security changes.
  • Ensure the Government is updated on weekly Security task status. Provide written consolidated security task report of tasks accomplished, pending, outstanding, or requiring extension or additional guidance clear, correct, timely and understandable manner.
  • Provide written consolidated report all Security tasks, completed, pending, requiring extension or supervisor inputs monthly.
  • Provide a monthly report for all Visit Requests Submissions received by the Command.
  • Provide a monthly report for all Visit Requests Submitted for Command personnel.
  • Provide a monthly report of all personnel checking into the Command.
  • Provide a monthly report of all personnel checking out of the Command.
  • Review manuals on policies, and directives on Security Administration procedures and requirements to ensure directorate operation procedures are up to date and all directorate personnel are aware of the requirements.
  • Conducts analyses, reports, surveys, inquiries, and evaluations regarding Security Administrative processes and procedures for continuous process improvement.
  • Provide a written report of Security Administration procedures that need to be updated or changed to reflect changes in policy (Deliverable: Quarterly Task Status Report).
  • Provide a written report of recommendations for continuous process improvement of the Commands Security Administrative programs (Deliverable: Quarterly Task Status Report).
  • Annually
  • Assists in the scheduling Physical Security Surveys and the recertification for MARFORPAC Classified Workspaces
  • Provides a written report of all Security Administration procedures that need to be updated or changed to reflect changes in policy.
  • Provides an annual written report of all recommendations for continuous process improvement of the Commands Security Administrative programs.
  • Provide written consolidated report all Security tasks completed, outstanding, extended, requiring extension or additional supervisor input for completion for the fiscal year.
  • Produce meeting minutes for meetings relevant to MARFORPAC Security Directorate Security administration and operations support.
  • Performs other job-related duties as assigned.



Operations Administrative Specialist Experience, Education, Skills, Abilities requested:



  • A High School Diploma is required, Bachelor's Degree is preferred.
  • 2 years' experience in process, program, operations.
  • Prior active-duty military experience preferred.
  • Eligibility for a Top Secret Clearance is required.
  • Outstanding analytical, contract interpretation skills. Prior legal or policy experience in interpreting contracts, regulations and all manner of Department of Defense policy documents is preferred.
  • Excellent oral and communication skills.
  • Strong Microsoft office skills including Microsoft Word, Excel, and PowerPoint
  • Previous experience working with and regularly briefing senior military leaders (O5 and above)
  • Ability to thrive in a fast-paced, dynamic, deadline-driven environment.
  • Lean Six Sigma certification and/or demonstrated process improvement skills.
  • Must pass pre-employment qualifications of Cherokee Federal
