Proposal Coordinator

(Remote, US-based)

The Proposal Coordinator position is primarily responsible for supporting the proposal function to facilitate the timely completion of proposals and deliverables.

Responsibilities

  • Coordinate the proposal process for assigned projects, including reviewing the request (RFP, RFQ, etc.), coordinating with designee for contract reviews, setting a timeline and establishing assigned responsibility for each step of the process, preparing the initial proposal document, locating and inserting applicable language and charts, marking items to be updated, coordinating reviews with an internal project team (usually 2-5 team members consisting of both non-client servers and external client servers), and formatting and finalizing the proposal documents(s). Proposals are primarily in Microsoft Word and occasionally in PowerPoint.
  • Write key sections of proposals, addressing the need for customization where appropriate, and assemble such content with other technical information from various sources into a cohesive master document; edit entire document to produce working and rough drafts for review by key stakeholders (could apply to proposals, presentations, or other deliverables).
  • Maintain and regularly update team resumes and service line experience charts to be included in high-quality proposal documents.
  • Assist in monitoring State procurement sites, government procurement portal, and dedicated email inbox for potential bid opportunities and identifying other pursuits of interest; review and summarize key information such as deadlines, criteria, and requirements with partners and other stakeholders.
  • Ensure high-quality business deliverables are produced, deadlines are met, and the goals of the projects are delivered upon timely.
  • Ensure all documents produced are of high quality, with appropriate formats and templates used, and with all content in compliance with stated requirements, and consistent with firm-wide strategy and communication guidelines.
  • Assist in the maintenance of State vendor procurement websites with updated RRC data as needed, as well as tracking user IDs and passwords for internal use.
  • Manage and update electronic filing of documents through SharePoint.
  • Assist with contract and other document comparisons, identifying differences in contract language and summarizing key information for partners.
  • Perform other ad hoc duties as assigned or requested.
  • Occasionally create and edit PowerPoint documents for new graphics or presentations.
  • Occasionally host webinars, including managing invites, running the presentation for the team, and tracking attendance.

Qualifications

  • Bachelor's degree in business related area or equivalent experience (required)
  • 5+ years' relevant experience in a professional services firm (strongly preferred )
  • 2+ years' experience managing public sector proposals (strongly preferred)
  • Excellent verbal and written communications skills, including presentation expertise
  • Proficiency in the Microsoft Windows environment and Office applications: Word, Excel, PowerPoint, Outlook, SharePoint, and OneDrive
  • Strong Word and PowerPoint skills is a must as well as familiarity with using Excel
  • Excellent writing, editing, and proofreading skills.
  • Strong time management and project management skills
  • Proven application of critical thinking and analytics
  • Ability to work and collaborate within a team environment with a variety of professionals, while at the same time being comfortable working independently and proactively with minimal supervision
  • Strong attention to details
  • Creative and independent thinking, focused on delivering quality deliverables
  • Effective organization skills: be able to prioritize tasks, anticipate internal clients' needs, manage several multi-stage projects concurrently, and complete all assignments in a timely fashion
  • Experience working in a fast-paced environment adapting to change when necessary
  • Experience using market research tools, particularly Internet-based applications

At RSM, an employee's pay at any point in their career is intended to reflect their experiences, performance, and skills for their current role. The salary range (or starting rate for interns and associates) for this role represents numerous factors considered in the hiring decisions including, but not limited to, education, skills, work experience, certifications, location, etc. As such, pay for the successful candidate(s) could fall anywhere within the stated range.

Compensation Range: $78,600 - $148,500
