Rutgers University- Newark (RU-N), an urban public research and anchor institution, located in Newark, New Jersey, a city of promise is seeking a Clerical Assistant to join the Office of the Registrar. Operating under the guidance of the Associate Registrar, the Clerical Assistant will play an integral role within the processing team of the Office of the Registrar. As a member of the Office of the Registrar, this position will also be a member of the Division of Enrollment Services & Experience Team. The Clerical Assistant will support various administrative functions within the Office of the Registrar and support several special academic programs and populations. |

Rutgers University-Newark, an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise, is seeking a Clerical Assistant. Reporting to the Associate Registrar, this position assists with the registration, records and support services within the Office of the Registrar.
This position is responsible for and not limited to the following.
- Assist in year-round registrations, processing of verifications, transcripts/apostilles, diplomas and record updates and inquiries ensuring FERPA Compliance
- Audit and maintain student academic records; rosters, grade changes as aligned with policies
- Inventory, scan, index and archive documents in compliance with retention schedules
- Responsible for utilizing professional judgment individually to adjust student records within the appropriate compliance standards
- Manage salesforce cases and calls from students, faculty, staff and third parties
- Audit data to ensure accuracy to meet state reporting deadlines
- Continually review, support and update training materials and practices to align with professional standards and to maximize efficiency
- Provide an understanding of topics like auditing, records management, operational policy development, educational professional ethics, compliance, strategy development, and student registration
- Involved in multiple student information systems (SIS), organization, communication, data entry, and customer service

Work Arrangement |
Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Qualifications
Minimum Education and Experience |
*High School diploma or equivalent, and/or up to 4 years of relevant office, clerical, bookkeeping, library assistant or related experience depending on the duties to be performed.
*An equivalent combination of education and/or experience may be substituted for the experience requirement. |

- Bachelor's degree
- Knowledge of computer software, familiarity with Microsoft office products, willingness to learn the Student Records Database (SRDB), Adobe, Salesforce, Tableau

Required Knowledge, Skills, and Abilities |
- Outstanding oral and written communication skills
- Advanced proficiency with Microsoft Office Suite (Word, Access, Excel, Access) or comparable products
- Ability to handle a wide variety of tasks simultaneously and maintain calm under pressure
- Sustained attention to detail while maintaining awareness of important priorities
- Regularly take the initiative and always follow through independently
- Ability to manage time and projects in order to complete work thoroughly and on time
- Ability to interact effectively with diverse people and a wide range of stakeholders: students, alumni, faculty, outside constituents, and university officers
