Schedule: Will fluctuate between these shifts 7:00AM-7:00PM & 7:00PM-7:00AM

Job Summary:

MedStar Health is looking for a Unit Secretary to join our team at MedStar Harbor Hospital!

The Unit Secretary will provide administrative and clerical support on a patient care unit. You will serve as the central point of contact for physicians, healthcare personnel, visitors, and patients, and contribute to the smooth and efficient flow of patient care processes. This position involves greeting patients, assisting healthcare providers, transcribing orders, managing patient data, and performing various office tasks to maintain the unit's organization.

Primary Duties:

  • Patient Care Support: Greet and assist physicians, nurses, and other healthcare providers upon their arrival to the unit, ensuring timely communication regarding patient care.
  • Telephone and Communication: Answer and direct phone calls, respond to intercom and emails, and ensure timely communication of patient information between the unit and other departments.
  • Order Transcription: Accurately transcribe physician orders and notify the appropriate nurse in a timely manner.
  • Patient Admissions/Discharges: Expedite the patient admission, transfer, and discharge process, following unit protocols for bed control and ensuring smooth transitions for patients and families.
  • Patient and Family Orientation: Orient patients, families, and visitors to the unit and patient rooms, ensuring comfort and understanding of unit procedures.
  • Medical Records Management: Maintain patient records in accordance with hospital policy, including chart preparation, filing, data entry, and ensuring accurate documentation for admissions, transfers, and discharges.
  • Inventory and Supply Management: Track and maintain an inventory of patient forms and unit supplies, ensuring that items are stocked and available as needed.
  • Quality Improvement Participation: Contribute to multi-disciplinary quality improvement teams and assist in maintaining a safe and effective patient care environment.
  • Environmental Support: Provide support for maintaining a clean and organized unit, including basic environmental services tasks such as trash removal.

Qualifications:

  • Education: High School Diploma or GED required. Also, knowledge of medical terminology is required.
  • Skills: Basic computer proficiency, strong verbal and written communication skills, ability to handle patient information confidentially in compliance with HIPAA, and proficiency in operating standard office equipment (fax, scanner, nurse-call systems).
