Carnegie Mellon University's department ofHousing Services is searching for a Facilities Coordinator. This is a dynamic opportunityfor someone whothrives in an interesting and challenging work environment. You willserve as an integral housing services team member and will be responsible for the coordination of all aspects of Housing Services' daily service maintenance, preventative maintenance oversight, small renovations, and the upkeep of campus residential space (approximately 4,000 beds in 45 university owned and leased buildings.)

Core responsibilities will include:

  • Physical inspections of buildings, serving as the liaison between residents and service providers, processing work orders, oversight of contractors, student-initiated projects, communication with various housing constituencies, and report preparation.

  • Coordinating ongoing maintenance and housekeeping activities in assigned housing buildings and serving as liaison to customers by responding to their individual issues and concerns.

  • Managing workload of small projects, renovations, special projects, and service contracts, with both campus and outside contractors; working with students and building staff in planning/developing projects and solving related problems.

  • Acting as a departmental liaison with FMS, environmental health and safety, campus design and facilities development, Res ED, and other university departments; handling coordination of routine and emergency maintenance problems as needed, and troubleshooting problems and questions concerning policies and procedures.

  • Maintaining daily services, as well as planning for long term facility needs and updates in their assigned area.

  • Provide recommendations for facility improvements in their area and beyond to Director.

  • Develop scopes, solicit bids, and manage projects from start to completion.

  • Receives and coordinates after hours service response requests and manages emergency maintenance problems as needed on a scheduled basis when on call.

  • Manage operating expense budgets for the buildings in your assigned area as well as for any projects you may be assigned.

  • Create, manage, and follow-up on work orders. Ensure customer requests are completed in a timely manner.

  • Work closely with custodial staff to ensure routine and project cleaning is happening efficiently and as scheduled.

  • Other duties as assigned

Candidates should be able to demonstrate:

  • Working knowledge of facilities management principles to include basic building codes, as well as building maintenance to include electrical, plumbing, structural, and mechanical systems.

  • Ability to manage multiple projects simultaneously in different stages of development.

  • Track record of working within budgetary restrictions as there are daily service budgets for each housing facility.

Ability to manage multiple tasks, coordinate multiple administrative processes, and ability to work with a wide variety of customers. Normal business hours are Monday through Friday, 8:30 a.m. to 5:00 p.m. Some evening and weekend hours are required, as well as some after-hours service response requests when emergency maintenance problems arise.

Qualifications:

  • Bachelor's Degree required; degree in project management or other related field preferred

  • 1-3 years of progressive experience in project management is required; experience in an academic setting and/or university housing is preferred.

  • A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.
