Essential Job Duties
We are looking for a dedicated Purchasing Associate to join our team. In this role, you will be responsible for sourcing, placing, and managing purchases using the AiM Work Management system, as well as reviewing Marketplace requisitions for compliance and handling necessary approvals. Additionally, you will manage the Facilities Purchasing group email to ensure smooth communication. If you enjoy purchasing, organization, and ensuring compliance, we encourage you to apply.

Key responsibilities and duties include, but are not limited to:

  • Process material requests and purchase orders for the entire Facilities Division
  • Support daily operations of the facilities warehouse, including hand delivery of mail and warehouse receipts
  • Analyze and process material requests, placing purchase orders under $5,000 while ensuring accuracy in specifications, work orders, and account documentation

  • Track and expedite shipments and services to ensure timely and accurate delivery from vendors to requestors
  • Monitor purchase orders from placement to invoicing to ensure timely processing
  • Perform receiving, disbursing, and obtain payment approvals as requested
  • Implement and support procurement and paperless initiatives
  • Coordinate with Facilities Accounts Receivable to track returns and ensure proper credits are received
  • Run the MarketPlace Error Log daily, resolve rejection errors, and manually input rejected purchase orders
  • Use AiM and Marketplace reports to follow up and resolve orders open for over 30 days

  • Collaborate with internal customers and vendors to resolve shipment, pricing, or quantity discrepancies, ensuring timely delivery and customer satisfaction

  • Expedite deliveries, answer phone calls, return calls, respond to emails, and attend training meetings

  • Other purchasing and procurement roles as needed.
Qualifications


Minimum Experience/Education
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Other Required Qualifications

  • Possess strong interpersonal, computer, and organizational skills, along with demonstrated written and oral communication abilities
  • Ability to work independently and as part of a team.
  • Must demonstrate good attendance and punctuality

Preferred Qualifications

  • Experience in procurement, purchasing and inventory.
  • Knowledge of e-procurement and work management system products/software, or similar software.
  • Demonstrated knowledge of NCSU policies and regulations, as well as Facilities policies and procedures
