Job Summary

In this role, you will provide multi-faceted administrative support and assistance to the C-suite to ensure effective use of time and productive interactions. Handle a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people. Manage schedules for members of the C-suite, meeting preparations, follow-up tasks, and complex travel arrangements. Conduct research and information gathering on behalf of C-suite members and prepare summaries and reports. Develop positive and strategic relationships at all levels of the organization. Use discretion, judgment, and knowledge of the organization to facilitate the C-suite activities and maintain strict confidentiality.

Your Role & Responsibilities



  • Coordinate and manage executives' schedules, appointments, and travel arrangements
  • Screen and prioritize emails, phone calls, and correspondence
  • Draft, proofread and distribute correspondence, memos, letters, emails, presentations, reports, etc.
  • Act as a point of contact between executives and internal/external stakeholders
  • Sort incoming mail and deliveries, routing to the proper recipients
  • Plan and coordinate travel itineraries, accommodations, and logistics
  • Coordinate and place meal orders for C-suite members, as needed
  • Track and process expense exports and manage budgets
  • Screen and prioritize emails, phone calls, and correspondence
  • Support executives with special projects, research, and data analysis
  • Research inquiries and facilitate a timely response leveraging resources across the company
  • Plan (e.g., scheduling, logistics, prepare materials, etc.) and host groups meetings which may require occasional travel
  • Handle day-to-day administrative tasks such as filing, record-keeping, and document preparation
  • Manage facility matters with associated vendors, including maintaining inventory in breakrooms and restrooms and scheduling and overseeing building repairs
  • Direct and deploy support staff or other resources on an as needed basis
  • Maintain confidentiality and handle sensitive information with discretion



Preferred Education & Experience



  • Minimum of 5 years of experience as an executive assistant or similar administrative role required; 3 or more years of experience assisting C-Level leaders preferred
  • High school diploma or equivalent required; Bachelor's degree in Business Administration, Communications, or a related field preferred

  • Intermediate to advanced skills in Microsoft Office suite
  • Excellent organizational and time management abilities
  • Ability to think on your feet in rapidly changing environments
  • Communicates information and ideas clearly and articulately both in oral and written form. Uses appropriate language, style and methods depending on audience and the purpose of communication.
  • Experience using various technology platforms
  • Ability to handle multiple tasks and prioritize effectively
  • Strong attention to detail and problem-solving skills
  • Discretion and confidentiality in handling sensitive information
