Summary of Position

The Account Payable Specialist position is responsible for providing support to the Accounting/Finance department. You will be responsible for ensuring the accuracy of the invoices, payment terms, and amounts prior to payment. The position holds the important quality control process of the AP function.

Key Job Elements



  • Enter invoices in Accounting Software to appropriate general ledger account for payment.
  • Review all invoices for appropriate documentation and approval prior to payment.
  • Monitor accounts payable aging to ensure payments are up to date.
  • Process 3 way P.O. matching invoices.
  • Prioritize invoices according to cash discount potential and payment terms.
  • Process check requests.
  • Audit and process credit card bills.
  • Audit and process employees' expense reports.
  • Match invoices to checks and distribute checks accordingly.
  • 1099 maintenance.
  • Fulfill control responsibilities.
  • Correspond to vendors and respond to inquiries.
  • Reconcile vendor statements, research and correct discrepancies.
  • Assist in month end closing.
  • Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices.
  • Provide supporting documents for audits.
  • Assist with other projects as needed


Qualifications

Knowledge / Experience



  • 1 - 2 years of Accounts Payable experience.
  • Bachelor's degree in Accounting, Finance, Business Administration or related field of studies.
  • Proficient in Excel and Word, 10-key by touch, QuickBooks or NetSuite experience a plus.
  • Thorough knowledge of applicable accounts payable/general ledger systems and procedures, financial chart of accounts and corporate procedures.

  • Must be well organized and a self-starter.
  • Must be able to follow standard filing procedures.
  • Detail oriented, professional attitude, and reliable.
  • Possess strong organizational and time management skills.

  • Ability to interact with employees and vendors in a professional manner.
