Education Office Coordinator Job Summary: The purpose of this job is to organize the educational experience in the Department of Ob-Gyn, with specific emphasis on the needs of fellows and attending/faculty. This role works in collaboration with education and administrative colleagues, along with education program leadership in support of academic program goals. In addition, this position provides administrative support for the Department of Ob-Gyn and its members. Position Highlights:

- Full Time/Part Time: Full Time (40 hours/week)
- Hours: Monday-Friday, 8am - 4:30pm
- Required Travel: Limited travel required
What you will do:
- Respond to all inquiries regarding the Urogynecology, Maternal-Fetal Medicine, Minimally Invasive GYN Surgery and/or Gynecologic Oncology fellowship programs (4 program directors, 11 Fellows)
- Review all applications received for completeness and obtain missing documents
- Coordinate matriculation of in-coming fellows with Division Directors and Managers
- Prepare and distribute evaluation forms to faculty members
- Manage reimbursement process for fellows within stipulations of annual academic allotment and Endeavor Health reimbursement protocols. Manage submission process including applying fellow travel grants and other forms of reimbursement as appropriate.
- Assist Program Directors with submission of all applications, annual reports and correspondence
- Support distribution of departmental communication, including but not limited to leadership memos and ad hoc communications
- Provide backup for distribution of the Department Weekly Update (in conjunction with department admin)
- Maintain departmental distribution lists to facilitate effective distribution of communications (in conjunction with department admin)
- Support facilitation of routine and ad hoc department events, including but not limited to new member welcome/Fall Event
- Respond to inquiries regarding hospital privileges
- Coordinate with the Professional Staff Office and the applicant to assure timely processing of applications and reappointments
- Assist physicians with the recredentialing process
- Maintain up-to-date staff files for member of NorthShore MG, i.e. Licensure, professional liability insurance, etc.
- Assist in the communication, coordination and tracking of educational requirements, including but not limited to Electronic Fetal Monitoring and requirements to meet clinical and experience goals
- Deal discreetly with large amounts of sensitive, confidential information concerning professional conduct and performance with patients and/or fellow employees
- Provide administrative support as needed to Clinical Chair, Vice-Chairs, Division Directors, Director-Women's Health and AVP Women's Health, in coordination with department amin assistant III
- Handles department phone calls with the Department administrative staff by routing to the correct party, effectively routing messages, and/or personally completing the caller's request
- Distributes mail, completes facility maintenance requests, schedules and confirms meetings room reservations, procures necessary office supplies and maintains Department audio/visual equipment
- Maintains a positive supportive work environment with co-workers
- Provides staffing, when necessary to other areas in Ob-Gyn and training of new personnel
What you will need:
- Education: High School diploma required. College degree or equivalent education/experience strongly preferred.
- Certification: N/A
- Experience: Must have 2-3 years prior related experience in academic medical center or medical school
- Unique or Preferred Skills: Must demonstrate excellent oral and written communicating skills. Must process excellent people, organization, problem solving, planning, analytical and communication skills. Must be able to work independently. Must deal discreetly with sensitive/confidential information regarding professional and personal performances of staff and confidential information regarding hospital affairs. Must have strong computer skills in Microsoft Word, Excel, PowerPoint, Outlook, etc.
