Position Summary

The Division of Epidemiology,
Biostatistics, and Preventive Medicine, within the Department of Internal
Medicine, is seeking a self-motivated and high energy individual to join our
growing, dynamic, and multi-disciplinary team. The Administrative
Assistant III will provide travel arrangements for faculty/staff,
reimbursements through Chrome River, P-Card transactions to purchase supplies,
airline tickets, hotel reservations, etc., coordinate and take minutes at
meetings, faculty symposiums, and retreats, manage parking space and facility
usage, assist with FAMIS space management, track faculty development fund use,
perform data gathering including Excel and running reports in Banner and
MyReports, create flyers and PowerPoint slides for division meetings, maintain
division website, setup POs and PRs, coordinate annual faculty reviews,
inventory control, organize and maintain files, answer phone, pick up mail, and
other miscellaneous job related duties as assigned.

The Department of Internal Medicine is a large,

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.
  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.


Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.



Preferred Qualifications
  • Chrome River knowledge and reimbursement experience. Experience in P-Card management and use and
    experience in the setup of POs and PRs
  • Experience maintaining calendars, scheduling and
    coordinating in-person and virtual meetings, symposiums, events, and
    hotels/travel. Experience with answering
    phones, maintaining facilities, taking meeting minutes, and organizing files
  • Experience in tracking expenditures, and generating reports
    including Excel, Banner report, and MyReports.
  • Experience with space management and tracking inventory.
  • Experience creating flyers, PowerPoint slides, and Word
    documents for division meetings, symposiums, and other events as needed.
  • Excellent oral and written communication skills
  • Organizational skills and multitasking
