Description General Summary/Overview Statement

Under the direction of the Radiation Oncology Practice Director and the Clinical Director of Breast Radiation Oncology Group, the coordinator is an active member of the clinical care team and responsible for triaging incoming referrals in a multi-disciplinary approach. The successful candidate will be focus mainly in the following:

1. Supporting the Breast Radiation Oncology program

2. Procuring medical records: Prior pathology, imaging, Graphic Plans/DICOMs and relevant reports required for patient care review.

3. Coordinating all appointments as needed for each specialty.

4. Obtains authorizations for imaging requests and for procedures (e.g., SBRT) as needed.

5. Effectively communicates with Breast Radiation Oncology Program.

6. Provides appointment information/instruction to patients regarding hospital and department procedures.

7. Arrange interpreters or transport if necessary. Assists with patient questions and serves as a critical point person, making sure patients' needs are met.

8. Assists in the referral process for those patients that seek treatment closer to home.

9. Provides departmental administrative cross coverage when needed.

10. Perform other duties as assigned.

Qualifications

DEPARTMENT SPECIFIC QUALIFICATIONS:

O Knowledge of practice operations and standards

O Understanding of procedures including filing, copying, scanning, printing and faxing.

O Phone skills: Ability to use phone system (answer and screen calls, put on hold), answer routine questions in the manner and communicate in a professional, courteous, clear and concise manner.

O Organizational skills: Ability to manage work process in a neat and orderly way and to sort and alphabetize. Ability to manage multiple tasks effectively follows established protocols, and work within systems.

O Writing skills: Ability to correspond and communicate with others clearly and effectively in writing (via e-mail, memo or interoffice note) and to take complete and accurate messages.

O System Skills: Ability to type and enter data at an entry level. Entry level understanding of applicable systems.

O Understanding of the appropriate use and importance of related forms.

O Basic understanding and use of medical terminology.

O Basic comprehension of insurance types and referral process.

O Basic comprehension of registration and fiscal information.

O Knowledgeable and compliant with all hospital, State and Federal requirements (where applicable to job performance), including policy and procedures with The Joint Commission and HIPPA.
