Description

The Research Assistant is responsible for providing support essential to the efficient operation of the department and its research programs. Specifically, this role will support the Vice Chair of Research and the Research Administrator as well as Principal Investigators (PIs) and their laboratories.

Performs and oversees various research functions that require in-depth knowledge of hospital and research programs and services, including preparation of research grants; transcription and typing of complex materials; purchasing and receipt of research supplies and equipment; preparation and monitoring of VISA applications; maintenance of data and patient record systems; and facilitation of onboarding a variety of sponsored research staff.

PRINCIPAL DUTIES:

1. Transcribe correspondence, forms, reports, manuscripts, grant proposals, and other materials that may involve complex scientific, technical, and/or specialized terminology from recorded dictation, shorthand, or rough draft.

2. Maintains study patient records.

3. Prepare, route, and track routine research and administrative forms.

4. Input data to conduct analysis and run various reports.

5. Prepare, approve, and process purchases of and reimbursements for grant and other research equipment, supplies, and materials.

6. Handle all aspects of the onboarding process for new research personnel and sponsored staff, including VISA applications.

7. Maintains research supply inventory and submits orders when necessary.

8. Organize and schedule programs, meetings, seminars, and conferences, including preparation of meeting agendas and other materials.

9. Perform clerical tasks, including maintenance of files, records, and databases.

10. Organize research supply closets and common areas, including recycling and shredding of confidential data.

11. Sign for deliveries.

12. Maintain hardware and software inventory.

13. Manage conference room schedule.

14. Coordinate with BWH public affairs regarding departmental research highlights.

15. Search for funding opportunities.

16. Maintain database of CV's and bio sketches.

17. Standardize policies and procedures for communicating with a variety of internal and external stakeholders.

18. Prepare reports (annual reports, proposal and award statistics, return on investment, publication metrics, etc.).

19. Develop and manage research domain of department intranet and the department's main website (in coordination with the hospital's web team).

20. Coordinate with hospital Facilities for repair of equipment.

21. Process travel reports/reimbursements.

22. Other duties as assigned.
