Department: Kellogg Records & Registration
Salary/Grade: NEX/10

Job Summary:

Support Assistant Directors for Registration and Student Records in processing registration and record changes, maintaining student records, and troubleshooting student issues in the registration process. Provide support to Academic Services & Advising team when dealing with student questions regarding registration.

Specific Responsibilities:

Registration Processes

  • Process all registration requests and data entry, including core course waivers, transfer credit, major exceptions, pre-requisite waivers, first-class mandatory attendance.
  • Resolve student registration problems, concerns and questions.
  • Assist with registration set up and resolution.

Contacts & Customer Support

  • Construct and respond to email communications in a professional manner with strong writing skills.
  • Follow-up on inquiries in a timely fashion, having done the necessary and sufficient research to bring issues to closure.
  • Recognize issues that have the potential to escalate and handle with keen business acumen.
  • Drafting correspondence related to registration and student records.

Records Maintenance

  • Assist in maintenance of student academic records in Student Enterprise Systems (CAESAR, Darden.) including enrollment updates, bid point allocations, graduation milestones, Dean's List, and graduation honors
  • Maintain accurate records documenting processing of all department forms.
  • Assist with maintaining current electronic student files (in Image Now).
  • Assist in preparation of data for degree conferral and commencement, including commencement program and ceremony materials and degree conferral list for faculty approval. Assist in graduation ceremony duties as needed. Prepare and distribute diplomas.

Miscellaneous

Performs other duties as assigned.

Minimum Qualifications:

  • A high school diploma or its equivalent along with 4 years of administrative support experience is required.
  • At least one year of experience working in higher education is required, preferably in the Registrar's Office or Student Services.

Minimum Competencies: (Skills, knowledge, and abilities.)

  • Demonstrated proficiency with Microsoft Office (Word, Excel, Access, and PowerPoint).
  • Strong time management and organizational skills.
  • Detail oriented.

Preferred Qualifications:

  • Bachelor's degree or the equivalent combination of education, experience, and training from which comparable skills can be acquired.
  • Ability to plan and organize multiple tasks in a fast-paced environment.
  • Ability to establish and maintain good working relationships with colleagues, students and faculty.
  • Must be exceptionally reliable and have demonstrated reliability in prior work experience.
  • Ability to work independently and as part of a team.

Preferred Competencies: (Skills, knowledge, and abilities)

  • Experience working in a university registrar's or student services office.
  • General understanding of FERPA.
  • Familiarity with Oracle Campus Solutions, Student Enterprise Systems.

Target hiring range for this position will be between $20.00 - $25.00 per hour. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
