Hours: This is a full-time position (40 hours per week/ 8:30am-5pm / M-F hybrid potential after 1 month)
Pay: $21.00 per hour

Northwestern University is seeking a temporary full-time Program Assistant for the Chicago campus.

Temporary Job Description:

Donor Relations duties (2.5 days/week):

  • Provide administrative support for donor recognition activities, including preparation, execution, and wrap-up duties for a donor recognition event in October 2024. Tasks include: assisting with mail merges (Word); formatting of digital and printed documents; executing mailings; look-ups/queries in the CATracks constituent database; preparation of Excel spreadsheets; data entry; list management; and data clean-up, as well as assembling event materials, expense reports, etc.
  • Perform database updates for current and historical donor recognition signage projects and principal gift donor stewardship tasks.
  • Provide administrative support for the Donor Relations group. Print letters and reports; coordinate and execute mailings.
  • May be asked to assist with donor-focused events.
  • Proofing and editing reports and letters. May assist with other writing, editing, and project management tasks as needed.
  • Possibly assist with report layout, finding photos, etc.

Alumni Relations duties (2.5 days/week):

  • Provide administrative support for alumni engagement and fundraising activities.
  • Event preparation, execution, assembling of gift bags and event materials, and performing event wrap-up duties
  • Assist with mail merges (Word); format digital communications and printed documents; execute mailings
  • Perform look-ups/queries in the CATracks constituent database; preparation of Excel spreadsheets; data entry; list management; data clean-up
  • Produce Expense reports; enter contact reports; and complete prospect research
  • Perform phone and telephone outreach to possible event attendees
  • Provide customer service support on the alumni phone lines and mailboxes as needed

Preferred Qualifications Required:

  • Bachelor's degree
  • One year in a communications, business administration, data management, or administrative support role
  • Strong data management skills (collection, analysis, distribution, maintenance) and experience with modern database and information system technologies
  • Project management skills and demonstrated ability to work on multiple projects simultaneously
  • Strong Microsoft Office skills, including advanced use of Word, Outlook, PowerPoint, and especially Excel
