Job Summary:

The part-time Events Coordinator is a point of contact for event planning and support for the School of Communication Dean's Office. Under the guidance of the Director of Events, assists with the planning and execution of all aspects of events related to School of Communication dean's office activities and programs including program events, receptions, special meals, seminars, conferences, virtual events, etc. The Events Coordinator will also manage the events budget and be responsible for payments to vendors and businesses, and procuring event-related items, etc. This position is both part time and part hybrid, with scheduled events that will require in-person staffing outside of normal business hours.

Please note: Events may be held at nights or on weekends and hours. Work schedule can be flexed.

Specific Responsibilities:

Coordinate events

  • Coordinates student, faculty, staff, donor, and alumni programming and meetings.
  • Develops plans and arranges meetings, workshops, meals, receptions, events, etc. to build internal and external relationships.
  • Manages guest registration process and creation of nametags.
  • Collects agenda items and background materials.
  • Coordinates complex itineraries involving domestic and/or international travel, etc.
  • Creates and maintains associated documents, spreadsheets, databases, meetings, special events, etc. and alerts manager of critical issues and upcoming events.
  • Identifies service improvement opportunities that will better enable program/project to achieve its goals and objectives.
  • Ensures technology is well orchestrated and planned for events, including hybrid events.

Accounting

  • Processes and reconciles expenses, purchases, and reimbursements.
  • Creates and maintains financial records.
  • Prepares forms.
  • Verifies appropriateness and accuracy of charges.
  • Communication & outreach
  • Strengthens partnerships with external constituencies by defining, promoting, and marketing benefits of participation and involvement to the organization.
  • Ensures that event details including communication, venues, presenters, travel arrangements, materials, signage, and technology are arranged and completed in an appropriate and timely manner.

Program development

  • Manages program/project curriculum, seminars, presentations, workshops, learning experiences, websites, online platforms, etc. based on goals/objectives.
  • Identifies & obtains external expertise as needed and works with content experts for current and new programs.
  • Reviews programs/projects to increase efficiencies to support growth.
  • Leads program/project updates and improvements.

Miscellaneous

Performs other duties as assigned.

Minimum Qualifications:

  • Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
  • 1 year program/project administration or other relevant experience.

Minimum Competencies: (Skills, knowledge, and abilities.)

  • Advanced knowledge of word processing, spreadsheet, email, and database software programs including MS Office Suite (Word, Excel, PowerPoint, and Outlook)
  • Excellent communication skills: ability to write and speak clearly and keep others informed
  • Ability to manage multiple and competing priorities and multi-task
  • Excellent time management and organizational skills
  • Excellent interpersonal skills: being helpful, respectful, approachable, and team-oriented

Preferred Qualifications:

  • 2-3 years event planning experience

Target hiring range for this position will be between $27.06-$32.84 per hour. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data Benefits:
