JOB DESCRIPTION:

Essential Functions/Responsibilities:

* Calendar management (50%)

* Manage all aspects of the CEO's calendar, anticipating scheduling conflicts and working quickly to resolve issues in a swift and efficient manner. Possess full command of the CEO's calendars, including meeting locations, travel, and participants.

* Rapidly become familiar with CEO's scheduling preferences and patterns and consistently apply when setting meetings.

* Work with a tight-knit team of EA's from across the org to coordinate complex calendars.

* Prepares a daily list of any calendar-related matters for review by the CEO with a focus on managing details while ensuring accuracy of all information.

* Daily support, travel and expense coordination (20%)

* Provide wide ranging administrative and operational support to the CEO, including meal support while on site, all travel arrangements, expense reporting, meeting logistics. Support on travel and expenses for Deputy Chief of Staff.

* Arrange and ensure reliability of all transportation/travel/hotel. Maintain hyper-vigilance on travel logistics before and during any travel.

* Personal support (10%)

* Provide focused personal support to the CEO to drive efficiency and save time for the CEO, including coordinating some personal/family travel and supporting on events within CEO's home.

* IT support (10%)

* Be responsible for first layer of daily tech operations for CEO. Includes ensuring devices are running smoothly and virtual meetings are set up prior to start time.

* Maintain and lead relationship with the Client's IT department for any A/V and technology needs for the CEO.

* Miscellaneous (10%)

* Manage/assist with special projects and tasks as assigned including mailings, event support (e.g., planning, coordinating details, or joining in-person), research, and ordering and stocking supplies.

* Maintain confidentiality when dealing with sensitive information.

* Maintain strong, reliable working relationships across the organization on behalf of the Office of the CEO, including with senior management and staff.

MINIMUM QUALIFICATIONS

Education/Experience:

* High school diploma or equivalent, and minimum five years related experience required, BA preferred.

* Related Skills & Other Requirements:

* MS Office Suite (Word, Outlook, PowerPoint, Excel).
