Detailed Description:

Our ideal candidate will proactively partner with the Project Analysts, Project Managers and other members of the project team to help coordinate projects from start to finish.



  • Project Delivery: Learn Brown and Caldwell's project management systems and standards. Partner with project analysts and project managers to ensure that all projects meet internal performance requirements in areas of documentation, communication, and quality control.
  • Project Setup and Closeout: Assist project analysts and project managers create draft contact lists, coordinate internal quality reviews and approvals of Project Management Plans, Communications Plans, and Health & Safety Plans.
  • Communication and Coordination: Assist project analysts, project managers, and technical teams with the scheduling of client and team meetings, meeting minutes, travel, and coordination of upcoming tasks.
  • Subcontracting: Work closely with project analysts to assist in the coordination and execution of subcontracts and supporting documentation, assist in the review of subcontractor invoices, and other project costs against budgeted authorizations. Work closely with project analysts and BC's contracts insurance department to coordinate the subcontracting and insurance verification process. Act as point of contact for any internal team member on questions related to project subcontracting.
  • Project Reporting: Work closely with project analysts, project managers, technical editors and quality reviewers to lead the successful and timely delivery client technical reports, which involves planning and scheduling internal reviews. Assist technical staff with the proper citation of references within technical reports and maintaining a comprehensive project record.
  • General Project Support: Assist project analysts and project managers with daily project needs as assigned, including SharePoint site maintenance, files cataloging and archival, word processing, and task list updates.
  • Team Effectiveness: Build relationships with project analysts, project managers and other team members in a virtual platform.
  • Time Management: Work under tight deadlines and manage multiple assignments, prioritizing as deadlines and needs change.
  • Data Management: Work with both SQL, Access, and Microsoft OneNote to track the status and due date of deliverables. Reports will be customized based on the needs of the project team.


Desired Skills and Experience:



  • Minimum two years of related experience in word processing and reporting and administrative coordination and scheduling with large teams in a fast-paced business environment preferred. Experience in private sector business project coordination in the engineering field desired. Bachelor's degree in Business Administration or equivalent experience preferred but not required.
  • Highly proficient in Microsoft Word, Excel, Outlook, Power Point, Project and OneNote skills are a plus.
  • Experience with Microsoft Access and Microsoft SQL.
  • Technical editing/writing experience a plus.
  • Must be proactive, self-motivated, able to multi-task, prioritize, work both independently and in a team environment, and under deadline pressures.
  • Excellent communication skills (written and verbal) are essential.
  • Successful candidate will be proactive and self-motivated.
  • Ability to multi-task and prioritize required.
  • Willing to work occasional overtime.
  • Valid driver's license and good driving record


Salary Range:Theanticipatedstarting payrange for this position is based on the employee's primary work location and maybemore or lessdependingupon skills, experience,and education. These ranges may be modified in the future.

Location A: $19.80- $27.20

Location B: $21.80- $29.90

Location C: $23.70- $32.60
