Marcum LLP is seeking a Receptionist-Administrative Assistant to join our Operations team in the Chesterfield, MO office. The Receptionist-Administrative Assistant is an in-office role, responsible for greeting and directing visitors and callers, as well as providing administrative assistance.

Essential Functions:

  • Address the needs of our employees, clients and vendors in a welcoming and professional manner
  • Politely answer and appropriately route all incoming calls
  • Open and close the office each day
  • Process all incoming and outgoing mail, special deliveries, drop offs. May include dropping packages at post office or courier locations.
  • Maintain mail processing supplies
  • Maintain cleanliness in conference rooms and visitor spaces
  • Assist ordering, setting up and cleaning up food service for events and busy season meals
  • Coordinate maintenance requests with the building
  • Coordinate office access for visitors and new hires
  • Backup for processing incoming checks for daily deposit
  • File and maintain client support documents
  • Prep and scan confidential client documents
  • Type engagement letters and correspondence, including thorough proofreading and proper formatting per Marcum standards
  • Process monthly billing, including thorough proofreading and proper formatting per Marcum standards

Additional Responsibilities:

  • Special projects as assigned (could include stapling, copying, collating, data entry and possible correspondence)
  • Assist Tax Department with special projects as assigned such as scanning, mailings, collating, filing, organizing, and general support.
  • Assist HR with new hire orientation, office tours, paperwork as needed
  • Assist Marketing with Internal meetings/events as needed
  • Ability to work extra hours near tax and project deadlines.

Qualifications:

  • 2-3 years of experience in a professional services environment
  • Proficiency in Word, Excel and Outlook
  • Detail-oriented and organized with a keen attention to detail
  • Excellent written and verbal communication skills and follow-through, including the ability to communicate effectively at every level of the organization
  • Excellent customer service skills
  • High School diploma/GED required - some college preferred.
  • Since a majority of the work at this level is on the telephone and at the computer, the individual must be able to sit for long periods of time.
  • Ability to work in-office for an 8-hour a day
  • Desire and ability to work in a fast-paced environment with frequent deadlines
