Job Description

This position provides coordinator support the training programs in pediatric otolaryngology and urology. The coordinator will manage, organize, and coordinate the day-to-day activities of the fellowships, rotating residents and observers. The coordinator shares in the implementation and compliance of all aspects of the management and administration of the Graduate Medical Education fellowship programs in the division. The coordinator may perform duties including but not limited to the administration and management of the programs as well as planning and coordinating academic, operational, and financial activities; assist in the development, implementation, and ongoing compliance with the programs' goals and objectives, monitor and bring to attention any changes in national requirements, and provide sound guidance and advice regarding significant fellowship program issues.

We are seeking a dedicated and highly organized Program Coordinator to join our organization. As the Program Coordinator, you will play a crucial role in supporting and managing our clinical education programs. You will be responsible for coordinating all aspects of the program, including recruitment, selection, onboarding, and ongoing support for fellows. The ideal candidate will have excellent communication and organizational skills, a strong attention to detail, and a passion for supporting emerging talent in their professional development.

Responsibilities:
1. Fellowship Program Management:

  • Develop and implement strategies to attract high-quality candidates for the fellowship program.
  • Coordinate the application and selection process, including reviewing applications, scheduling interviews, and communicating with applicants.
  • Collaborate with internal stakeholders to define fellowship program goals, objectives, and evaluation criteria.
  • Develop and maintain fellowship program guidelines, policies, and procedures.
  • Plan and organize fellowship-related events, workshops, and seminars.
  • Serve as the primary point of contact for fellows, providing guidance and support throughout their fellowship experience.
  • Facilitate the onboarding process for new fellows, including orientation, training, and introductions to relevant staff and resources.
  • Monitor and track fellows' progress, ensuring they meet program requirements and milestones.
  • Organize and coordinate regular check-ins and mentorship opportunities for fellows.
  • Provide resources and support for fellows' professional development, including networking opportunities, skill-building workshops, and access to relevant resources.

2. Organizational Relationship Management:

  • Cultivate and maintain relationships with partner organizations, universities, and other stakeholders involved in the fellowship program.
  • Collaborate with external partners to identify potential fellowship placements and projects.
  • Coordinate and facilitate communication between fellows, mentors, and partner organizations.
  • Represent the organization at conferences, events, and other networking opportunities to promote the fellowship program.

3. Program Evaluation and Reporting:

  • Collect and analyze data related to the fellowship program, including feedback from fellows and program outcomes.
  • Prepare regular reports on program activities, outcomes, and impact.
  • Identify areas for program improvement and make recommendations for enhancements.
  • Contribute to the organization's overall strategic planning and goal-setting processes.

4. Fellow/Resident Support and Development:

Requirements

  • Bachelor's degree required.
  • Two (2) years of experience in Human Resources, Organizational Development, Healthcare Administration, nonprofit management or related field preferred but not required.
  • Excellent writing and interpersonal communication skills required; some grant writing experience preferred.
  • Proficient with Microsoft computer software applications, working knowledge of content management and publishing, software, and database technologies.
  • Ability to work independently with limited supervision.
  • Organizational skills: Ability to establish priorities and react promptly to a large variety of requests and needs, sometimes in stressful situations.
  • High level of attention to detail; ability to multi-task.

Education

Bachelor's Degree: Health Administration (Required)
