https://forms.gle/HB4Z1L2YCAb75bXPA Summary of Job Duties:The Front Desk Assistant will play a crucial role in welcoming our children, youth, and families, assisting them during appointments & phone calls, and providing general office assistance for the department. The position's dedication to helping families thrive and strong communication skills will contribute to the overall well-being of the families we serve. The Assistant will work under the direct supervision of the Sponsor Relations Manager and work closely with the membership team & programs team. Candidates must be available Monday-Thursday during at least one of the available shifts (8:30am - 12:30pm, 10:00am - 2:00pm, 1:30pm - 5:30pm). Final schedule open to discussion based on department needs and applicant availability. Must be able to provide the proof of Work Study Award. Spanish is highly preferred. This position is governed by state and federal laws, and agency/institution policy. Qualifications:

Required Education and/or Experience:

  • Must be 18-years old with a high school diploma

Preferred Education and/or Experience

  • Some college & Spanish language skills (written and verbal).

Job Duties and/or Responsibilities:

  • Manage incoming calls and visitors by scheduling appointments, welcoming visitors, and forwarding to appropriate staff and/or documenting all messages.
  • Access children's/families' information utilizing proprietary databases to schedule appointments and other information necessary to manage the position responsibilities.
  • Manage incoming mail & packages and forward to the appropriate staff.
  • Have knowledge of recruitment policy, program schedules, and appointment schedules
  • Attend and assist during scheduled events for agency completion of sponsorship requirements and recruitment necessary for the children and youth in the program(s).
  • Assist in the data entry as needed, including physical or electronic filing utilizing proprietary databases.
  • Ensure the front office is presentable for children, families, and visitors by maintaining an organized and clean workspace
  • Make necessary copies and emails for office operations.
  • Assist with special projects and duties as assigned by Sponsor Relations, Programs, and other required areas of the agency.
  • Assist with the computer resource area for visitors.
  • Demonstrate cultural sensitivity and respect for diverse backgrounds, ensuring that services are tailored to meet the unique needs of each family.

Knowledge, Skills and Abilities:

  • Strong interpersonal and communication skills, with the ability to listen actively and communicate effectively with families from diverse backgrounds.
  • Empathetic and nonjudgmental approach to supporting families in challenging situations.
  • Ability to handle multiple responsibilities, set priorities, and problem-solve.
  • Proficiency in using computer applications, spreadsheets, word processing and databases for record-keeping and communication.
  • Ability to work both independently and as part of a team; self-starter
  • Reliability and punctuality
  • Spanish is extremely helpful
  • Excellent organizational, customer relations, and detail-oriented skills.
  • Must be able to pass a criminal background check.
