Summary of Job Duties:The Administrative Specialist is responsible for a variety of administrative support functions for Plant Operations, which includes the following divisions: administration, facilities maintenance, construction, and shipping and receiving. Plant Operations also has oversight for custodial and grounds/ landscaping services provided by a third party. Works in tandem with the other Administrative Specialist to provide support for the director, assistant directors, managers, and other staff as required. This position reports directly to the Director of Plant Operations. Qualifications:

Required Education and/or Work Experience:

* The formal education equivalent of a high school diploma

* Two years of experience in a specialized or related area applicable to work performed

Preferred Education and/or Work Experience:

* Associate or Bachelor degree in Business or related field

Knowledge, Skills, and Abilities:

  • To perform the job successfully, the following competencies are required for the essential functions of this position:
  • Must handle confidential information with absolute discretion
  • Strong computer skills including data entry, spreadsheet, and word processing programs
  • Must have excellent verbal and written communication skills
  • Ability to provide customer service assistance to office staff, visitors, and telephone inquiries
  • Ability to organize, prioritize, and multitask efficiently
  • Knowledge of basic accounting principles

Essential Job Duties and Responsibilities:

  • Monitor and prepare requisitions, annual contracts, bid documentation, and departmental budget reports
  • Serve as backup for other department administrative specialist, to include incoming calls, initiating work orders, assisting vendors, sign in and security procedures, and Key Track program
  • Create and monitor projects, and project data analysis, documentation, records, files, reports
  • Monitor and maintain various department electronic and paper files, records, logs, and reports; prepare various reports; keep Director and Plant Operations staff updated on department deadlines and activities
  • Assists other areas within Plant Operations
  • Other duties as assigned

Other Job Duties and Responsibilities:

  • Liaison with Campus stakeholders and Plant Operations, as daily duties are conducted
  • Maintaining a positive work atmosphere by acting and communicating in a manner to foster teamwork

Working Relationships:

This position has frequent contact with supervisors, peers, staff, faculty, and outside contractors. This position works closely with the Administration, Maintenance, Shipping/Receiving, Construction, Health Safety, Technology, and AV departments. Must keep appearance neat and clean, be polite, and offer a positive image while setting up events.

Special Job Dimensions:

  • Light Work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of force is greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.
  • Employee is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; and/or visual inspection at distances close to the eyes.
  • Employee is required to have visual acuity to determine the accuracy, neatness, and thoroughness of the work assigned or to make general observations of facilities or structures.
  • The employee is not substantially exposed to adverse environmental conditions.
  • Occasional overtime may be required.
