The Department of Computer Science (CS) at Cornell Bowers CIS is a top-ranked program in the U.S. offering undergraduate majors in the Colleges of Arts & Sciences and Engineering. It also provides three graduate degree programs: Master of Engineering, Master of Computer Science, and Ph.D. Known for its world-class research, the department covers all specializations in computer science.

The Opportunity

Join us as a Student Service Assistant (SSA). In the role, you will provide administrative support for the Computer Science MEng, MS, and Ph.D. programs. You will also manage the student appointment process, manage student records, coordinate events, and assist with admissions and enrollment processes. The SSA ensures smooth operation of student services and supports the academic progress of graduate students. The SSA role is integral to the success of our CS graduate students!

Key Responsibilities

  • Serve as one of the first points of contact for prospective and current students, representing the public face of CIS graduate programs to those populations.
  • Manage graduate student employment and appointments.
  • Track and maintain teaching assistant records and requirements.
  • Oversee fellowship tracking and related documentation.
  • Process and track student reimbursements.
  • Assist with admissions processing and related tasks.
  • Assist in maintaining and updating approximately 450 student data/records across two campuses (Ithaca and Cornell Tech).
  • Participate in CS commencement and other events, which may be scheduled outside of regular business hours.

  • Exceptional Organizational Skills and Attention to Detail: Demonstrate meticulous attention to detail in managing student records, employment, processing reimbursements, and handling various administrative tasks to ensure accuracy and compliance with university policies.
  • Effective Communication and Interpersonal Skills: Exhibit strong written and verbal communication skills, effectively interacting via email and in-person with students, faculty, and staff. Ensure timely and polite follow-up to keep all stakeholders informed and engaged.
  • Proficient Time Management and Multitasking Abilities: Manage time efficiently, prioritizes tasks, and adapt to a fast-paced environment. Balance multiple responsibilities, from student appointments to event coordination, while maintaining a high level of performance.
  • Problem-Solving and Adaptability: Demonstrate a proactive approach to problem-solving by asking questions, seeking clarification, and not being afraid to tackle challenges. Adapt to changing circumstances and handles various tasks with good judgment and a diplomatic approach.

What We Need

  • Associate's degree and 2 to 4 years of relevant experience or an equivalent combination.
  • Ability to work effectively in an environment with frequent interruptions.
  • Enjoy working with students.
  • Strong organizational skills, with the ability to follow-up and track decision-making.
  • High degree of attention to detail and confidentiality.
  • Demonstrated problem-solving skills.
  • Strong communication (both oral and written) and interpersonal skills.
  • Ability to work independently with general supervision and within a team environment.
  • Ability to work courteously and effectively with students, faculty, staff, and visitors in a highly service-oriented office.
  • Ability to read and comprehend policies, guidelines, and protocols.
  • Technically adept at using various business or technical programs (Workday, CollegeNet, Microsoft suite, spreadsheets, databases, & website maintenance).
  • Demonstrated ability to use sound judgment.
  • Ability to cultivate and develop inclusive and equitable working relationships with students, faculty, staff, and community members.

If you have all those things, great! We have a few more things that we would prefer you to have, but it's ok if you don't.

  • Bachelor's degree
  • Advanced knowledge of Cornell systems and procurement policies (strongly preferred)
  • Experience in a higher education setting
  • Working knowledge of FileMaker Pro, PeopleSoft, and Brio

This is a full-time (39 hours/week) endowed position that is based in Ithaca, NY with a hybrid schedule of 3 days on campus, 2 days remote. Work hours are 8:00AM-5:00PM Monday through Friday, with some flexibility on start and end times, as approved by your supervisor. The SSA is required to work CS commencement and other events that may be scheduled outside of regular business hours.
