Providing direct support to the Womenrsquo;s Board (WB) Administrative Manager, WB Business Manager and WB President, the WB Secretary assists with event execution and independently performs secretarial, general office and administrative duties in support of the WB, its Auxiliaries, The Rainbow and Fountain gift shops, and all WB fundraising events. II.

1. Meets all standards of the Patient Satisfaction Initiative Criteria in order to make Abington ndash; Jefferson Health (AJH) the hospital of choice for Patients and Employees.
2. General Office Duties: Develops and maintains system of correspondence and documentation including meeting room reservations, meeting scheduling, and correspondence integral to the operating function of the office; maintains WB calendar, posting all meeting requests and coordinating room usage; acts as a resource and serves as office receptionist/greeter to donors and volunteer base. Assists with efficient office operations and ensures flow of communication; answers phones and maintains 24 hour message line; demonstrates initiative with department activities to ensure quality services are provided; assists with mailings, prepares notices, meeting materials, and other needs for AEC meetings then types and distributes minutes under the direction of the WB Administrative Manager; provides clerical assistance to Business Manager. Responsible for the timely and organized maintenance of event files both hard copy and electronic. Inventories and orders office supplies to keep them at established minimum levels at all times.
3. Uses software to: Keep database records updated at all times for cost containment including recording of board membersrsquo; status and responsibilities, giving an up-to-date record of each memberrsquo;s account; create new constituent records; register event participants; batching.
4. May be requested to attend events to perform staff duties
5. Performs other duties as assigned

Experience:
Minimum 5 years secretarial experience supporting an executive.

Education amp; Training:
High School graduate or equivalent. Associates Degree preferred.

Other Requirements:
Excellent communication and people skills. Ability to deal with a variety of people who interact with the office staff on a daily basis. Strong time management skills and ability to multi-task to meet the demand of overlapping projects with critical deadlines. Proficient in MS Word, Excel, Outlook fundraising and donor management, and graphics software. Skill/aptitude for creating visually appealing signs, posters, etc., is preferred. Proficient in use of World Wide Web/Internet. Strong typing skills required; a minimum of 60 wpm is strongly preferred.

Covid Vaccination is a requirement for employment at Jefferson for employees working at Jeffersonrsquo;s clinical entities or at the University. If you are not currently vaccinated you will be required to receive the vaccination prior to hire date if you are offered employment, unless you request and receive an approved medical or religious exemption from Jefferson.
