Job Summary

Supports the successful cultivation of lifelong relationships with alumni, parents, and constituents through the effective identification and management of prospects and the provision of strategic assessment of prospect and donor behavior and trends for informed decision-making. Ensures accurate and beneficial prospect management and prospect research to support the office of the Sr. Vice President, Advancement and the President of the University, Board, and leadership giving opportunities.

  • Supports management of the Prospect Assignment, Research and Portfolio Review process for the Office of the Sr. VP and the university President. Ensures delivery of high quality briefing documents, prospect profiles and appropriate summaries for the Chief Development Officer, Sr. Vice President, Advancement/CEO FIU Foundation, Chair of the Board, leadership volunteers, and other constituent groups. Leads the discovery of new prospects and assessment of ratings of existing prospects to support the University's major and principal gifts fundraising efforts.
  • Manages ongoing system of pipeline management, prospect identification and pipeline movement. Liaises with prospect research team members as needed to deliver capacity analysis and wealth profiles of key portfolio prospects. Compiling and analyzing prospect data, monitoring development pipeline movement and progress, and strategizing innovative prospect management solutions to support the University's major and principal fundraising efforts and overall fundraising success.
  • Regularly monitors fundraising activity for continuity and compliance with the Prospect Management Guidelines and processes. Regularly reports on information regarding fundraising progress/activity and interpret information to advise leaders on fundraising performance.
  • Analyzes prospect pools and shares data on fundraising progress and activity across groups of constituents. Prepares and regularly updates prospect management progress reports including, but not limited to, semi-annual prospect pool summaries, cultivation trends, needs analysis, pipeline reports and other forecasts.
  • Serves as Lead to Prospect Management Committee (PMC), who develop and administer guidelines that govern prospect management. Works closely with Associate Vice President of Constituent Development to provide guidance and support to committee, who meet on a quarterly basis.
  • Acts as an advisor to the Prospect Management Committee to ensure consistent delivery of research and prospect management services. Sets short and long-term goals and priorities for the prospect management (moves management) program. Understands and applies national best practices, processes, and technologies for prospect management. Learns about technologies, products, and expertise that could improve the effectiveness of the FIU development programs.
  • Collaborates with Advancement-Human Resources to determine strategic engagement strategies related to assist front line fundraisers with Prospect Management related issues. Leads development community-wide and coordinate one-on-one training with the Prospect Management Analyst on prospect management policies and procedures as well as systems and applications.
  • Collaborates with colleagues and leadership to assess donor capacity across constituents and ensure effective prospect tracking. Oversees the formulation of prospect management and development strategies, monitoring of prospect activity, engagement trends and fundraising outcomes. Ensures the implementation and management of an ongoing and robust system for effective prospect identification and pipeline movement. Writes and maintains documentation of research and prospect management data entry reporting and protocols.
  • Leads, directs and supervises the Research & Prospect Management team including training, provision of professional development, tools and resources and performance management. Provides regular feedback on progress towards goals and pre-established metrics and performance expectations.
  • Partners with front line fundraisers to support their use of prospect research findings for informing development strategies. Builds a broad and deep understanding of fundraising metrics to provide the information that supports the management of prospects through the development cycle. Oversees special projects (on-going and ad hoc) that specifically model these practices. Promotes and adheres to the University's prospect coordination policy at all times. Works with Development to encourage and enforce best practices for applying prospect coordination activities.
  • Manages budget and operations for Research & Prospect Management. Reviews, approves and tracks all expenditures and manages the allocation and distribution of the Office of Research and Prospect Management's budget to ensure it is utilized appropriately and effectively.
  • Stays abreast of and maintains the standards set forth in the APRA Skills Set for Relationship Management. Participates at an appropriate level in professional associations such as APRA and CASE, both to increase individual knowledge and skills, as well as to share acquired knowledge with colleagues. Implements industry best practices, in addition to ethics of professional standards as outlined by APRA, CASE and AASP.
  • Provides oversight and manages the Advancement database fund raising software and database. Serves as the point of contact for database information requests by division personnel and the University community. Maintains a complete knowledge and understanding of the Advancement database system, as well as understands how data interacts among other modules.
  • Coordinates data collection with units/colleges/schools and fundraising professionals. Prepares various statistical analyses and progress reports of private support to assist staff and administration in program management and assessment, and fulfill external agency reporting requirements (external auditors, etc.)
  • Monitors system performance, security, and data integrity. Plans and supervises timely software upgrades. Coordinates systems and processes to ensure data quality and integrity. Facilitates quality control measures and regular audits and metrics to ensure data integrity.
  • Works with Advancement Leadership to reengineer existing processes, streamline current work, and develop business processes using best practices for data storage and gift reporting.
  • Supports the reporting needs of the division by providing complex reporting capabilities. Develops and sustains underlying Advancement database data structure and business rules for data entry. Develops, implements, analyzes, revises, and enforces policies and procedures.
  • Designs and facilitates organizational wide Advancement Database training and support to selected staff.
Minimum Qualifications

Bachelor's degree and eight (8) years of experience of research and prospect management; OR twelve (12) years of experience of research and prospect management; OR an equivalent combination of relevant education and/or experience. Experience directing and supervising a research and prospect management team.

Desired Qualifications

  • Achievement of a high level of competencies in the field of prospect research as defined by the Association of Professional Researchers for Advancement (APRA), Prospect Research Fundamentals, Advanced Prospect Research and Relationship Management skill sets.
  • Familiarity with a broad range of research techniques, internet search strategies and experience using electronic databases and online search tools. Experience with research resources such as Lexis-Nexis, iWave, Research Point, WealthEngine, Foundation Center Diretcory Online and more.
  • Prior experience working with an alumni and donor database in a higher education setting. Project management experience and ability to manage and lead multiple projects in a tight deadline.
