Job Summary

Contributes to the overall proposal submission process by assisting faculty with the proposal preparation process including the drafting and building of proposal budgets, filling out all required internal as well as external forms, preparing applications for electronic Proposal Routing Approval Form through the faculty's department and college, assisting with budget revisions as well as other proposal related duties as determined by the Office of Research and Economic Development (ORED). Serves as the University liaison between the sponsor and university personnel in the proposal review and submission process. This position reviews proposals using independent judgment against institutional guidelines, sponsor requirements, and applicable regulations; identifying deficiencies and provide guidance to faculty on resolving the issues; and submit proposals to sponsors via paper and electronic means. Contributes to the overall grant transfer process by assisting faculty with the preparation process. This position also assist with training for the Pre Award Proposal Services team and Department Administrators.

  • Assigns proposals and maintains communications with granting agencies for appropriate processing of proposals in the absence of the Assistant Director and Manager. Serves as backup monitor for the general proposal inbox and grants.gov inbox.
  • Assists new Pre Award Proposal Services Team members with the training process. Ensures training curriculum are updated.
  • Works closely with PI's to prepare agency and institutional forms for PIs. Provides strategic advice to PIs for budget development. Develops budgets for PIs for application clearance and submissions. Provides complete assistance to PIs throughout ePRAF process at the department / college level. Develops budget revisions in collaboration with Office of Research and PIs.
  • Contributes to the overall proposal submission process by assisting faculty with the proposal preparation process.
  • Prepares and completes all required internal and external forms. Prepares applications for internal ePRAF routing through the faculty's department and college. Assists with budget revisions, Just In Time, progress reports as well as other proposal related duties as determined by the Office of Research.
  • Responsible for submitting significant proposals characterized by a heightened level of complexity, involving multiple investigators, collaborators, and/or subawards. Facilitate coordination with partnering institutions to guarantee university compliance and obtain necessary documentation for the involvement of collaborators as subawardees in proposals.
  • Collaborates with the Office of Research personnel to ensure that proposal submissions are consistent with established University policies and procedures while conforming to federal, state, sponsor and university rules and regulations.
  • Works closely with PI's to prepare agency and institutional forms for PIs. Provides strategic advice to PIs for budget development. Develops budgets for PIs for application clearance and submissions. Provides complete assistance to PIs throughout ePRAF process at the department/college level. Develops budget revisions in collaboration with Office of Research and PIs.
  • Reviews solicitation requirements to identify and mitigate any anticipated risks and to ensure compliance with terms and conditions
  • Conducts review of Contract /Memorandum of Understanding/ Non-Disclosure/Proprietary Information Agreement/Teaming Agreement, and other provisions/documents as part of the Request for Proposal, in accordance with established policies and procedures prior to execution and/or acceptance by the authorized institutional official.
  • Assists with the Proposal team's proposal routing system statuses to make sure we are in compliance with month-end reporting and close-out process.
  • Ensures a high level of customer service performance and achievement of quality and timely assistance to faculty with the proposal submission process in a deadline driven environment.
  • Reviews progress reports for compliance with federal, state and institutional policies and regulations prior to submission.
  • Provides presentations/training on the proposal process at the departmental level to the research administrators.
  • Performs other related duties as assigned or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position. This position reports centrally to the Office of Research and Economic Development (ORED) and may be located centrally in ORED or may be located in a college/center/institute/department at one of our campuses depending on work flow management needs.
Minimum Qualifications

Bachelor's degree and four (4) years of grant or contract administration experience; OR Certified Research Administrator (CRA) and four (4) years of grant or contract administration experience; OR eight (8) years of grant or contract administration experience; OR an equivalent combination of relevant education and/or experience.

Desired Qualifications

  • Knowledge of 2 CFR Part 200 (Uniform Guidance).
  • Experience working in a higher education environment.
  • Experience in creating and reviewing budgets.
  • Excellent interpersonal, communications and negotiations skills including ability to interact with all levels of staff from administrators to the executive team.
