Job Summary

The Herbert Wertheim College of Medicine is currently seeking a Manager of Administrative Services

Duties Include:

  • Manages and oversees the departments faculty development program, including organizing Continuing Medical Education (CME) credit sessions.
  • Manages and supports department leadership in developing and overseeing nominations for HWCOM, university, and external awards for staff and faculty, including tracking and maintaining records of past nominations and awards. Participates in and contributes to relevant committee meetings, ensuring effective communication and coordination across departments.
  • Supports the Associate Director of Academic Support Services at FIU in assessing and enhancing processes, reports, and workflows concerning faculty activities, with a focus on continuous improvement.
  • Collaborate with stakeholders to define and develop clear and measurable performance metrics for faculty across teaching, research, service, and community engagement domains.
  • Responsible for regularly updating the department's webpage, ensure faculty profiles and information are accurate and coordinate with IT for technical updates as needed.
  • Develops, produces, and distributes the Department of Medical Education newsletter.
  • Manages and oversees the annual evaluation process for all faculty members, including tracking documentation, communicating deadlines, and ensuring compliance with institutional policies. Additionally, tracks and analyzes faculty participation in HWCOM activities, providing reports and developing strategies to enhance involvement in teaching, research, service, and community engagement. Coordinates the promotion process, ensuring alignment with institutional guidelines and supporting faculty throughout the process.
  • Assists in the development and implementation of evaluation procedures for community-based faculty, ensuring accurate record-keeping and facilitating continuous improvement. Provides support and coordinates faculty coverage for curricular and clinical assignments by processing requests from HWCOM units and FIU departments, offering cross-coverage as needed.
  • Performs other related duties as required. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position
Minimum Qualifications

Bachelor's degree in business or related field and four (4) years related business or administrative experience, or Master's degree in business or related field and two (2) years related business or administrative experience.

Desired Qualifications

Prior experience in academic administration, preferably in a medical education setting.
Familiarity with faculty evaluation and promotion processes.
Proficiency in data analysis and reporting.
