Job Summary

Responsible for the quarterly reconciliation of accounts for the Office of the Provost, monitoring spending and encumbrances, and maintaining detailed financial records. This role includes providing financial recommendations to support the Office of the Provost, Planning, and Finance (OPPF) strategic goals, assisting in the development of internal guidelines, and contributing to the annual operating budget. Reviews budget submissions, conducts financial performance analysis for forecasting, and generates financial reports. Manages purchasing functions, ensure accurate budget transaction records, and serve as a liaison for finance-related matters with academic units. Prepares payroll transfers, performs quarterly payroll reviews, and ensures compliance with relevant guidelines and policies.

  • Performs quarterly reconciliation of E&G, Auxiliary, Foundation and Grant accounts for the Office of the Provost as well as Provost Support departments. Monitors spending and encumbrances including deposits and expenditures, maintains electronic and hard copy records for all E&G, Auxiliary, Foundation and Grant accounts when appropriate.
  • Provides recommendations to OPPF leadership on any financial and operational procedure changes related to areas of responsibility in support of OPPF strategic goals and objectives for Academic Affairs. Assists in the development, implementation and interpretation, of OPPF internal guidelines and procedures and serves as a financial/budgetary knowledge base for Academic Affairs.
  • Assists in the development of the annual operating budget for the Office of the Provost, OPPF, and Academic Affairs.
  • Assists with the annual review of College/School budget/fee submissions into PantherSoft Financials System for Credit and Non-Credit programs.
  • Analyzes current and past performance to develop short- and long-term forecasting, impact of revenue streams and feasibility of operational expansions.
  • Generates financial reports for OPPF leadership. Responds to inquiries on E&G / Auxiliary / Projects from internal FIU parties. Maintains a record of budget expenditures / revenues and reconciles to PantherSoft Financials System.
  • Performs purchasing functions in relation to purchase orders, expenditure/invoice processing and reporting.
  • Maintains department records of budget transactions, ensuring that records are up to date and complete.
  • Serves as liaison with academic units in matters related to finance and planning.
  • Prepares payroll transfers for the departments to correct salary allocations. Performs quarterly review of payroll detail reports to ensure permanent and temporary positions are allocated correctly.
  • Prepares budget transfers for the department to provide budget as directed to other units.
  • Provides general guidance to ensure transactions comply with federal, state and /or University guidelines, policies, and procedures.
Minimum Qualifications

  • Bachelor's degree in a related field and one (1) years of relevant experience.
