Job Summary

The Alumni Relations Events Manager is responsible for the planing and execution of complex events and event functions in the office of Alumni Relations that meet the strategic goals of the FIU Alumni Association. Designs, plans, and produces exceptional events for the University that reflect and advance FIU's brand and cultivates donors and prospects. Leads the Alumni Association's events and logistics, such as lectures, fundraisers, conferences, networkers, board meetings, tailgates, and signature events.

  • Leads event execution of the the Alumni Association's events, such as, Fishing Scholarship Tournament and Block Party, Torch Awards, Annual Meeting, tailgates, homecoming, reunions, Panther Alumni Week, etc. Consults with Director on management of large-scale events.
  • Serves as the procard approver for departmental transactions. Assures compliance and adherence to University credit card policies and procedures.
  • Assists in the development of communication plans for all Signature Events for FIU Alumni. Prepares marketing materials for external distribution at events to include but not limited to emails, event signage, credentials, etc.
  • Responsible for the Events Team budget by making recommendations, managing budget trackers, submitting foundation invoices, expense reports, requisitions, and contracts.
  • Manage, mentor, and train, event interns to support the creation and execution of Signature Events for FIU Alumni.
  • Prepares event contracts and invoices in a timely fashion for event vendor payment and works closely with Finance and Administration on processing and vendor communication.
  • Prepares RSVP lists, name badges and event briefings per event.
  • Tracks event budget including revenues and expenses, working closely with the Director of Alumni Relations.
  • Researches and procures vendor services for events locally, nationally and internationally. Projects expenses and revenues and manages contract process and payments between vendor and the Foundation Finance department.
  • Leads logistics and production on event day, execution of the event and event breakdown. Develops staffing and volunteer roles, develops and leads volunteer and staff briefings prior to the event.
  • Collaborates with designated departments on processing donation receipts, establishing fair market value for events, and filling out appropriate forms for event insurance and contracts.
  • Oversees the daily operations of Student Ambassadors programming. Monitors and approves program expenditures within allocated budget. Develops and produces KPI reports.
  • Formulates policies and procedures for Student Ambassador program and any other area of program administration.
  • Assist the Director with advising Student Ambassadors and event management and volunteer management.
  • Serves as a University card user for departmental transactions. Adheres to University credit card policies and procedures.
Minimum Qualifications

Bachelor's degree and four (4) years' experience in higher education, alumni relations, development, event management, or a related field.

Desired Qualifications

Bachelor's degree in Hospitality, Marketing, Communications, or related field AND experience in developing comprehensive programs and activities to increase constituent participation.
Experience with program development and execution of programs.
Experience planning and implementing outreach efforts.
