Job Summary

The HR Specialist oversees and ensures the accuracy of faculty action forms, maintaining records for reporting purposes. Reviews and approves faculty-related HR actions and appointment forms, ensuring they comply with academic policies. Manages the summer appointment process, approving faculty offer letters, and guiding new hires through onboarding. Manage position change requests, maintain official faculty transcripts, and ensure data integrity in the system. Addresses queries about faculty personnel actions, provides backup for various faculty processes, approves additional compensation requests, and assists with electronic credentialing.

  • Coordinates and reviews faculty action forms in SharePoint and reviews for accuracy and completeness prior to routing to the appropriate HR department. Retains accurate records of faculty actions taken upon receipt of each form for faculty for reporting purposes.
  • Assists in the review and approval of all faculty-related HR actions including but not limited to personnel actions, Initial Faculty Appointment Forms, electronic position request form (ePRF), ensuring consistency between documents and academic policies prior to submission to HR.
  • Assists in the summer appointment process, reviewing the summer load and summer supplements for 9mo faculty.
  • Reviews and approves faculty offer letters for new hires. Ensures the onboarding of the new hires from the initial completion of the sign-on and other forms to the creation of the appointment in the system. Maintains compliant record keeping of applicant information.
  • Assists in reviewing all position change request forms and distribute to respective person for signature and approval as well as make requested changes in the system.
  • Maintains official transcripts maintained via lmageNow for all instructional faculty of the University.
  • Provides oversight to the PSHR Person Profile Education Page to ensure data integrity. Makes corrections and/or communicates updates to HR regarding the school/institution code table as needed.
  • Troubleshoots College questions about faculty personnel actions. Retains accurate records of faculty actions taken upon receipt of each HR form for faculty for reporting purposes.
  • Serves as backup to office personnel with regard to processing of courtesy, adjunct, faculty, summer load, as needed.
  • Serves as the unit approver for the electronic request for additional compensation and backup for faculty contracts.
  • Serves as a backup in approving the electronic credentialing requests (eCRF).
Minimum Qualifications

  • Bachelor's degree and two years of administrative experience to include Human Resources experience.
Desired Qualifications

  • Knowledge in Academic/Faculty Affairs or Faculty Human Resources.
