Job Summary

Assists the Director in the oversight of post-award research projects to support the research initiatives of Stempel College. Works with Principal Investigators (PI's) and Office of Research & Economic Development (ORED) to prepare and maintain records of all post-award processes and works closely with PIs and ORED to ensure consistency and compliance conforming to federal, state, sponsor and university rules and regulations.

  • Manages multiple fiscal and accounting functions. Interprets fiscal and accounting administrative rules and policies. Assists in the design and anticipates new internal forms to facilitate and improve operations and streamline required approvals and procedures to effectively administer programs and ensures compliance with internal control procedures and accounting best practices.
  • Oversee post-award administration of large and complex contracts and/or grants for an assigned unit(s) / department(s). Serves as liaison between the Principal Investigator and the Office of Economic and Research Development.
  • Reviews Travel Authorizations, Expense Reports. Assures adequate cost justifications and supporting documentation are provided/obtained and conforms appropriateness of requested costs given FIU and Sponsor policies and procedures for Expense Manager's approval.
  • Develops budgets and provides guidance to faculty members on all fiscal and administrative grant related matters and submission of grant proposals. Evaluates expenditure documents according to federal, state, and university guidelines for grant permission and appropriateness.
  • Assists with effort reporting certification to ensure amount budgeted and reported on projects is accurate, and process payroll transfers as necessary.
  • Works alongside research and HR team to verify and complete 9-month faculty summer contracts supplement forms. Reviews and confirms availability of funding on grants for new and continuing hires on grants.
  • Process student scholarships, stipends, tuitions for assigned grants. Monitors and confirms graduate assistants funding on grants.
  • Assist in the planning, directing and reporting activities of the projects administered by the research area. Interprets and implements policies and procedures as they apply to the assigned area. May recommend changes on policy and procedures as needed.
  • Manages subcontracts, consulting agreements, material transfer agreements and other research agreements. Assists the PI in Agreement Request preparations to the Office of Research and Economic Development, manages purchase orders for subcontracts, consulting agreements, material transfer agreements and other agreements. Reviews PI approved invoices for agreement terms (adequacy of invoices, supporting documentation submitted, request cost).
  • Monitors and maintains eCERT (Research Effort) for assigned units within the College to ensure appropriate effort allocation.
  • Assists the Director in monitoring grant expenditure progress, forecasts, and prepares appropriate summary reports for presentation to Principal Investigator (PI), Dean and disseminates quarterly the grant activity reports including encumbrances & in-transit items, to the PIs. Provides resolution to budget exceptions on all research-related activities.
  • Collaborates with Principal investigators in reviewing and planning: award set up, expenditure projections, award terms and conditions, deliverables, progress reports, and reporting schedules. Regularly follows up with PI to assure adherence to deadlines. Formulates plan assignments and timelines.
  • Manages the transfer of charges during grant close-out process and Grant Project financial closing of releasing encumbrances/payments for purchases settle advances including participant payments, confirms with PI's that subcontractors have completed their work to submit final invoice.
  • Monitors and resolve budget exceptions, non-payroll transfers, budget modification, change of PI requests, Direct Charge Exemption forms, pre-award requests, and assist ORED with grant transfers from other institutions as well as carry over requests to sponsor.
Minimum Qualifications

Bachelor's degree and four (4) years of grant or contract administration experience OR Certified Research Administrator (CRA) and four (4) years of grant or contract administration experience OR equivalent combination of education and eight (8) years of grant or contract administration experience; OR an equivalent combination of relevant education and/or experience.

Desired Qualifications

  • Experience in the administration of pre award and post research process for grants and contracts.
  • Experience with compliance and monitoring budget and spending, approves expenditures, and provides ethical management of funds.
