Job Summary

Coordinates all pre-service requirements and approvals based on the policies and procedures for the Volunteer Program at FIU. Responsible for independently managing the candidate preboarding process post offer acceptance. Assists the HR Manager in process development, training, and consultation related to improving volunteers, interns, and person of interest (POI) requests for the diverse university community.

  • Assist with verifying Level I and Level 2 background checks on Student, Temporary Employees and POI.
  • Provides university-wide support in critical and timely process management of staff policies and procedures including applicable local, state and federal laws pertaining to the pre-employment and background screening process.
  • Responsible for initiating pre-service clearances and providing primary oversight of volunteers, interns, and POI requests to ensure it is consistent and equitable based on current positions throughout the university.
  • Assist with all strategic, compliance and operational initiatives for the Volunteer Program.
  • Reports on any Volunteer Program related activity and provides metrics on a biweekly basis. Provides high level of customer service to student body, hiring managers, and university community.
  • Manages the correspondence and requests for background checks for business units, external agencies, and affiliates
  • Assists with the management of large group volunteers and hires, and all ImageNow queues. Assists with coordination of onboarding volunteers and hiring process for employees in university-sponsored/run camps.
  • Manages the communication of background check clearance or non-clearance to appropriate parties.
  • Represents the Talent Acquisition and Management Department through contacts with administrators, faculty, staff, applicants, volunteers, and other members of the community.
  • Maintains strict confidentiality regarding all requests, results, and decisions.
  • Assists with the management of current employees applying for University Credit Cards, Merchant Requests, gift cards and participant payments within ImageNow queues. Initiating clearance and providing guidance on the requirements for these request.
Minimum Qualifications

  • Bachelor's degree and two years of administrative experience to include Human Resources experience.
Desired Qualifications

  • Polished professional presentation and telephone etiquette
  • Experience in excel spreadsheet data manipulation (Vlookup and Pivot tables).
