Job Summary

The Office Coordinator is crucial in supporting the Office of Faculty Leadership and Success (FLS) administrative and operational tasks. Works closely with the Manager of Administrative Services and the Theater Director, ensuring smooth daily operations. Responsibilities include administrative planning, event coordination, financial support management, and meticulous record-keeping, all aimed at enhancing the department's overall efficiency.

  • Works closely with the manager in coordinating the day to day administrative and operational activities of the Office of Faculty Leadership and Success (FLS). Provides administrative support to the Manager of Administrative Services and Theater Director, including scheduling appointments, managing correspondence, and ensuring effective departmental communication.
  • Proactively manage updates and modifications to the FLS website and social media channels, enhancing event promotion and audience engagement, guided by the Manager of Administrative Services and the FLS Theater Director.
  • Works with both internal and external stakeholders to organize event logistics, plan productions, and execute theater-related activities efficiently.
  • Review financial activities, track payments, identify discrepancies, and maintain budgetary records in coordination with the Manager of Administrative Services and FLS Theater Director.
  • Adheres to University's credit card policies and procedures as a university credit card holder.
  • Handle travel authorization and expense reports for departmental staff, adhering to university credit card policies and procedures.
  • Manage travel-related expenses and act as the point of contact for departmental transactions, under the guidance of the Manager of Administrative Services and FLS Theater Director.
  • Keep accurate records, logs, and files related to departmental activities, and assist in financial report preparation as needed.
  • Orders office supplies and assess and replenish office supplies to ensure the department is well-equipped for daily operations and special events.
  • Support various office functions as directed by the Manager of Administrative Services and FLS Theater Director to ensure smooth department operations.
Minimum Qualifications

High school diploma or GED and six (6) years of office or related experience providing administrative support or managing/coordinating functions of an office or department; OR an equivalent combination of relevant education and/or experience.

Desired Qualifications

  • Experience working in Higher Education.
  • Proficiency in Microsoft Office applications and other relevant software.
  • Experience reviewing and editing documentation.
  • Knowledge of budget management and financial reporting principles.
