Job Summary

Coordinates the day to day administrative operations of the department. Provides administrative support to the FIU Embrace Administrative and Executive team.

  • Coordinates and or administers the operational activities of the FIU Embrace Center. Oversees the coordination, planning, and logistics of Center's events.
  • Develops administrative operational procedures and departmental policies as guided by the Center's Directors.
  • Serves as a liaison between the executive team and the university.
  • Works closely with the Center's leadership in implementing new initiatives.
  • Responsible for coordinating meetings and follow ups with internal and external parties in regard to pending projects, assignments, or activities. Provides proper feedback to the Executive team.
  • Serves as a University card user for departmental transactions. Adheres to University credit card policies and procedures. Acts as the primary credit card holder for FIU Embrace.
  • Assists with the coordination of travel arrangement as requested by management. Travel arrangements include, airline and hotel reservations, travel authorization requests, and travel expenses reimbursement for department staffs and student workers.
  • Manages, maintains, communicates the Continuity of Operations Plan (COOP) emergency preparedness plan for the Center. Maintains the Center's emergency contact information.
  • Coordinates and communicate with internal and external partners associated with the Center's Advisory Board and Parent Advisory Group.
  • Prepares information for the FIU Embrace Advisory Board and Parent Advisory Group meetings.
  • Works closely with the department executives with the mapping of internal/external processes and proposes solutions for improvement.
  • Recommends new and improved operational processes to effectively manage administrative operational procedures.
  • Assist in the development of ROI and other reports requested by leadership.
  • Exercises independent judgment in facilitating the work flow for the department and provides follow up on pending actions.
  • Provides support to the department in the FIU Embrace Education application process by serving as a backup to the designated Program Coordinator, who oversees all aspects of the application process.

  • Acts as the ECHO Coordinator for FIU Embrace which includes, but is not limited to: coordinating logistics for ECHO trainings, managing all data entry into iECHO, communicating with ECHO training participants, helping create marketing materials and leading and managing preparation for ECHO trainings.
Minimum Qualifications

Bachelor's degree and three (3) years of office or related experience providing administrative support, or coordinating functions of an office or department.

Departmental Requirements

Ability to handle multiple assignments and meet deadlines.

  • Experience in Microsoft Office Suite (e.g. Excel, Word, PowerPoint, etc).

Advertised Salary

$45,000 - $55,000
