Job Summary

Manages and coordinates the day to day operational and administrative activities of Facilities Planning. Provides support the activities necessary to define requirements for capital improvements for all land managed by Florida International University. Provides support to the campus master planning, capital improvement planning, preparation of legislative budget requests, preparation of building programs and space inventory analysis. Provides support that includes the mapping and recording site information, documentation of underground utilities and documentation of the built environment in general. Manages the Space Committee Approval
process.

  • Manages the day to day administrative and operational activities of the department. Works closely with the Director and Assistant Director of Planning, in coordinating ongoing activities and meetings related to the Campus Master Plan and Land Use documentation pursuant to state requirements.
  • Establishes and maintains an orderly process for obtaining requests for the Space Committee's Approval. Ensures the documents are endorsed by the department Dean or AVP. Establishes an agenda request for approval.
  • Prepares template for Facilities program and draft building program content for review by Planning staff and programs committee members.
  • Prepares draft of legal documents including consultant agreements, agreements with local government and other agencies for review, renewal and approval by Facilities staff, Legal, and external parties. Coordinates with Legal annual updates for all continuing service agreements and maintains logs of expiration and eligibility for renewal dates.
  • Coordinates and provides assistance with special Projects. Performs research, gathers and compiles data for preparation of various reports, documents, charts, and graphs as needed.
  • Prepares draft of legal advertisements for submittal to the Florida Administrative Register for publication. Sends all selection process documents for web site posting to the Facilities Management IT work group. Contacts and receives reference checks from clients for finalists. Copies and distributes relevant documents to certification and selection committee members at final interviews.
  • Receives all requests for Space Committee approval form the requesting college/department head; Ensures statement of need is complete with details; Checks for endorsement by the Provost, VP or VP designee; Issues request to Space Committee members for approval; ensures all response have been received from committee members and documents final approval status; Issues final status to Building Dept. for permitting as required.
  • Performs related duties as required or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
  • Develops, implements, and evaluates operational workflow and processes for the department.
Minimum Qualifications

Bachelor's degree in business or related field and four (4) years related business or administrative experience, or Master's degree in business or related field and two (2) years related business or administrative experience.
