General Responsibilities |
Performs advanced clerical and receptionist support for a suite of seven cohorts. This position requires excellent interpersonal and communication skills. Provides advanced customer service, including connecting students with a mental health counselor and disability support services in a professional, non-judgmental, culturally appropriate manner. Schedules appointments for Mental Health Counseling using a scheduling software system. Greets visitors, answers multi-line phone system, directs calls to appropriate individuals or departments and provides information on services provided and referrals. Assist the office manager, as needed, with daily office operations. Support with office projects and events. Must have advanced computer software skills, such as Microsoft Office Suite, and proficiency with Canva. Experience using Titanium Schedule appointment system is a plus. Performs all duties while maintaining strict confidentiality of students and student records in compliance with laws and policies. |
Work Performed |
- Perform receptionist responsibilities to support the offices of Mental Health Counseling and Wellness, Career Services, Disability Support Services, Student Rights and Responsibilities (Student Conduct and Title IX), Howard P.R.I.D.E., and Project Access as the first point of contact for scheduling appointments, responding to inquiries, and directing guests to appropriate resources and services.
- Answers phones, directs calls to appropriate individuals and responds to inquiries regarding services.
- Assist students with navigating the Disability Support Services process using the accommodations software.
- Sorts incoming mail and delivers to appropriate individuals and oversees outgoing mail.
- Makes copies and scans as requested by staff.
- Assist with projects and events as needed.
- Operates office equipment, including copy, poster, and fax machine.
- Assist with creating/designing brochures, flyers, newsletters, and Word documents.
- Assist with ordering office supplies.
- Knowledge of office procedures.
- Monitor the student lounge and assist with printing and other issues.
- Assist with mental health counseling special projects.
- Provide training and support to work-study students.
- Submit work order requests to facilities and IT tickets via myTSC.
- Perform other duties as assigned.

- High school diploma and 30 college credits in office technology, or two years plus equivalent experience.
- Advanced knowledge of Microsoft Office Suite is required.
- Ability to follow oral and written instructions.
- Exercise good judgment while working independently and following office protocol.
- Professional demeanor, critical thinking skills, excellent communication skills, and strong work ethic.
- Colleague, Titanium appointment scheduling system, and other software applications are strongly preferred.
- Ability to operate office equipment such as computers, photocopiers, multiline phones, fax machine, poster machine, and printers.
Preferred
- Associate's or Bachelor's degree a plus.
OTHER REQUIREMENTS
- Ability to communicate effectively, both orally and written.
- Ability to multi-task in a very busy environment.
- Excellent organizational skills with attention to detail.
- Knowledge of the Internet, electronic mail, and college website.
- Ability to learn, implement, and use new computer software applications.
- Regular in-person attendance is a requirement of this job.
- Ability to work independently and effectively with others in a workgroup environment.
- Perform all duties while considering the impact of any actions on the college's sustainability initiatives in the areas of environmental stewardship, social responsibility, and economic prosperity.
- Maintain strict confidentiality of students and student records in compliance with laws and policies.
- Attend staff development activities and update skills as required.
- Attend regular staff meetings.
