General Responsibilities |
Performs clerical and administrative support for the Workforce, Careers & Community Development nursing and allied health contracts and open enrollment programs. Assists supervisor with course implementation and provides general support for the workforce development unit. Assists students in registering for and selecting classes. Provides telephone coverage, clerical support, mail processing. Colleague data entry, program reports, and serves as a back-up support to other workforce development programs as needed. Under general supervision, assists with instructor and vendor contracts, course file management, and new personnel document processing. Utilizes Colleague for invoicing and purchasing. Processes appropriate documents regarding new contractual and temporary/hourly adjunct and staff and processes contracts for payment. |
Work Performed |
- Acts as a point of contact for program information via phone, email and in person.
- Provides courteous and informed customer service for students by assisting with student registration, transfers, drops, and course information. Responds to student inquiries in a timely fashion.
- Responsible for providing information and requested materials in response to inquiries from prospective students and community partners.
- Assists students, instructors, and the general public answering questions regarding registration, transfers, refunds, certificates, course schedules, course requirements, policies and procedures, and directions to campus classrooms/buildings.
- Responsible for data entry into Colleague, the college's registration management platform.
- Creates correspondence and various data entry assignments to include updated course spreadsheets and instructor information maintained in Excel.
- Runs proofing reports to ensure the accuracy of course information and makes corrections as necessary.
- Assists with the preparation and processing of documents, including certificates of completion, vendor and adjunct contracts, and other correspondence as assigned.
- Prioritizes multiple project assignments, applies a high degree of accuracy and efficiency. Supports WCCE programs and assists division with special projects as assigned. Performs other duties as assigned.

- A high school diploma (A.A. Degree preferred);
- At least two years of experience in an office environment requiring excellent technical, organizational, interpersonal, and problem solving skills.
- Demonstrates excellent attention to detail.
- Demonstrates office experience with emphasis on data entry, record keeping, general clerical skills, office procedures and organization.
- Proficient in Microsoft Office Suite required
- Experience in allied health and/or higher education preferred
- Experience using Colleague, Access, Outlook and related software programs desirable

- Must maintain strict confidentiality and use good judgement in dealing with clients, instructors, and all levels of individuals within the college and the community.
- Performs all duties while considering the impact of any actions on the college's sustainability initiatives in the areas of environmental stewardship, social responsibility, and economic prosperity.
- Ability to communicate effectively, both verbally and in writing
- Regular attendance is a requirement of the job
