Under the direction of the Business Manager, Perioperative/ Endoscopy Services, the Surgical Procurement and Billing Supervisor will oversee the daily activities of the department to ensure adequate levels of product inventory is maintained by evaluating inventory needs and implementing strategies across the service lines to meet those needs. The supervisor will implement and enforce policies, process and procedures relating to the daily operations of the department in addition to those impacting the General Operating Room, Women's Outpatient Surgical Center (WOSC) and Endoscopy unit. In addition, the supervisor will oversee staff activities and assist as needed to make certain the needs of the ORs and Procedure areas are met. Supervises Surgical Procurement & Billing Specialists and Supply & Equipment Specialist(s).
Education:
- AA degree in Healthcare related field or an equivalent combination of education and experience may be considered
Licensures/Certifications:
- Completion of an accredited Surgical Technologist program or Certified Tissue Bank Specialist (CTSB) preferred
Experience:
- Two years Supply Chain experience required; experience in Healthcare Supply Chain preferred
- Two years Supervisory experience required
- Experience in Tissue/ Implant Tracking preferred
Skills: * Skill in managing, motivating, and mentoring individuals and teams * Skill in computerized Materials Management Information Systems, window based operating systems and Microsoft office applications * Ability to interpret and analyze data to create Inventory reports * Skill in trouble shooting, critical thinking, prioritization and organization * Effective written and oral communication with ability to lead meetings and provide project oversight Principal Duties and Responsibilities: * Supervises with ability to perform all duties and functions as Surgical Procurement and Billing Specialist and/ or Supply & Equipment Specialist as required
Financial Management: * Oversees the procurement process to be compliant with budgeted operational expense * Oversees the billing process to ensure timely completion and accurate revenue reporting * Assists with payroll for staff * Assists Perioperative and Endoscopy department managers with budget variance justifications, capital planning and obtaining budgetary quotes
Human Resource functions: * Creates work schedule to ensure departmental coverage * Facilitates orientation, training, competencies and development efforts * Monitors and reviews daily work performance of the staff * Assists the Business Manager with staff evaluations and provides continual performance improvement feedback * Provides corrective action in accordance to GBMC policy and enforces GBMC and Departmental standards, processes and policies * Participates with interviews and selection of personnel * Leads staff meetings and huddles as directed
Service Excellence: * Investigates and responds to customer feedback, modifying systems and processes as needed * Fosters collaborative relationships with other departments * Conducts Customer Service Surveys and develops actions plans to achieve desired results
Quality Initiatives: * Monitors quality metrics, performance improvement, and goals for the department performing periodic audits to ensure established targets and goal targets are on track * Partners with the Quality Department, Supply Chain Management and Perioperative Procedural areas as it relates to FDA recalls, product notifications and defective devices * Communicate changes to affected end users for product(s), equipment and service as it relates to substitutions and backorders * Functions as a back-up for Tissue Oversight Coordinator as it relates to all the documentation and regulatory requirements for Tissue Banking
Inventory Control: * Functions as a Liaison between Supply Chain and the departments as it relates to the item file, development of SOW, quality monitoring and related supply chain issues * Monitors daily the staff compliance with established Supply Chain SOW * Facilitates the annual inventory process * Participates in the Surgical Value Analysis Committee and attends other meetings as required * Develops actions to right size the inventory * Monitors and evaluates supply chain logistic to gain efficiencies * Maintains good vendor relations and ensures compliance with RepTrax & Rep Scrubs, or designated programs, and related GBMC vendor policies; troubleshoot log-in issues as needed * Facilitates any changes in conjunction with Supply Chain for vendors and product substitutions when needed to benefit delivery and/or cost to the hospital * Participate in establishment of PAR levels for product changes, evaluate root cause for usage spikes and manage communication of and establishment of new product(s) * Support processes to ensure product(s), implants and tissues have been through the appropriate approval process. Advise Business Manager and Value Analysis of any concerns or breech of policy * Oversee product returns and credits as needed for outdated, obsolete or specific patient products that are not used All roles must demonstrate GBMC Values: Respect I will treat everyone with courtesy. Pay Range $55,400.42 - $88,640.67
Final salary offer will be based on the candidate's qualifications, education, experience and alignment with our organizational needs.
