Senior Research Administrator, Global Contracts and Grants

The Sr Research Administrator is responsible for independently supporting investigators through the entire proposal submission process; administration of a large, high dollar and varied portfolio of sponsored awards that may include multiple faculty and locations. Management of competing priorities while providing excellence in customer service to internal and external customers; ensuring activity records are accurate, appropriately organized and recorded in a timely manner; independently negotiating sponsored agreements and contracts; serving as a training resource for faculty and staff at all levels; identification and dissemination of potential funding sources for faculty constituency; development of documentation of protocols, templates, and additional resources; read; interpret; disseminate and or apply federal and other sponsor guidelines and regulatory documents.

Overview:

The Department of Global Pediatric Medicine (GPM) is a growing department looking for professionals who are eager to help implement the St. Jude Global (SJG) mission of training the clinical workforce, developing and strengthening health systems and patient-centered initiatives, and advancing knowledge to sustain continuous improvement through research.

Summary:

Responsible for leading Contract development, review, renewal, execution, termination, and archiving for the Department of Global Pediatric Medicine (GPM) and St. Jude Global. Develops and reviews contracts to identify and interpret appropriate data for system entry, maintenance, retrieval and archiving. Provides ongoing assistance and support to GPM staff on a wide variety of healthcare, risk management, and general corporate and litigation issues by assisting with legal research, writing, contract review, document production, and other tasks as assigned. Works collaboratively and collectively with GPM finance, legal, and institutional personnel to ensure alignment amongst multiple

contracts.

Responsible for researching, documenting, and disseminating information as needed. Serves as a liaison with other members of GPM Operations and SJG and its collaborators, to ensure coordination and success of departmental, regional, and/or global initiatives and departmental requirements.

The Sr. Research Administrator, Global Contracts and Grants is responsible for:

  • Collaborate with GPM Operations and Program Leaders while leading the effort to process all legal and compliance documentation necessary for all GPM sponsored events around the world.

  • Collaborate with stakeholders to ensure that all contract submissions contain required legal terms, prepared accurately and submitted on time.

  • Keep stakeholders informed throughout the contract submission process, proactively follow-up and problem solving for all necessary information.

  • Collaborate with the GPM Legal Managing Counsel for all continuous improvements to work- flow processes.

  • Review proposed contracts for accuracy and red-line documents prior to submission to the Office of Legal Services (OLS) for review and approval.

  • Maintains GPM and St. Jude Global records in institutional contract database management system according to institutional policies and procedures

  • Develops and maintains a mechanism for monitoring expenses, ensure contract funding does not exceed budgets and are routinely reported to stakeholders during the life of each contract.

  • Coordinates with stakeholders and Finance Department to ensure all required invoicing are complete, in compliance with terms and budget and submitted for payment on time.

  • Develop and maintain up to date Department SOP's that aligns with institutional practices.

  • Lead the effort to problem solve, offering alternative mechanisms or innovative approaches to achieve mission and program objectives.

  • Prepare contract documents to be accurately and timely fully executed by all parties.

  • Manage workflows to respond to shifting priorities.

  • Responsible for maintaining accurate contract records, developing a process to provide sufficient lead time notices to stakeholder informing them of upcoming contract expirations.

  • Promote responsible stewardship and ensure compliance with all institutional, compliance and OLS policies and procedures.

  • Maintains strict confidentiality of all patient and institutional information

  • Performs other related duties as directed to meet the goals and objectives of the department and the institution

  • Maintains regular and predictable attendance according to institutional policies.

  • Ability to handle sensitive matters in a confidential and professional manner.

  • Ability to adapt work schedule, with prior notice, to virtually support events occurring in multiple time-zones.

  • Cultural sensitivity is a must.

Minimum Education:

  • Bachelor's degree in related field is required

  • Master's degree is preferred

Minimum Experience:

  • Five plus years experience with contract life cycle processing and management preferred.

  • Electronic contract management system experience preferred.

  • Experience or exposure to global health or international sector(s) preferred.

  • Three (3) years of experience and expertise in complex project management.

  • Experience with Microsoft SharePoint, Microsoft Smartsheet, Microsoft Outlook Calendar tools, Microsoft Word, Excel, and PowerPoint required

  • Fluency in a second language preferred

  • Experience in an international setting and with project management methodologies preferred

  • Supervisory and/or team coordinator experience is a plus

Compensation

In recognition of certain U.S. state and municipal pay transparency laws, St. Jude is including a reasonable estimate of the compensation range for this role. This is an estimate offered in good faith and a specific salary offer takes into account factors that are considered in making compensation decisions including but not limited to skill sets, experience and training, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be hired at or near the top of the salary range and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current salary range is $70,720 - $126,880 per year for the role of Senior Research Administrator, Global Contracts and Grants.
