Job Description

The position in our St. Louis, Missouri office requires a dependable candidate who is a self-starter with the ability to provide a high-level of customer service. This position requires strong communication and interpersonal skills and will be expected to interact with lawyers, staff and guests of the firm.

Regular in-office working hours for this position are 8:30 AM - 5:00 PM, Monday through Friday.

Responsibilities include but are not limited to:

  • Mail sorting, delivery and pick-up including Federal Express, US Mail and other overnight shipping

  • Receive and distribute incoming faxes utilizing the Rightfax software

  • Run high-volume copy and scan machines and perform binding and finishing work

  • Scan and perform electronic imaging of documents

  • Ensure convenience copiers are working properly, check for quality by conducting daily inspections; clear paper jams and inform technicians of specific problems

  • Respond to and coordinate all service calls and perform basic repair service on copier equipment

  • Inventory and maintain paper and supplies in the satellite copy areas

  • Manage filing systems and logs

  • Work closely with Office Administrator and Information Governance Director on file destruction and file maintenance

  • Order and stock office and breakroom supplies

  • Maintain kitchen facilities, including coffee machines and water dispensers, and coordinate vendor maintenance

  • Assist with preparing rooms for meetings and seminars

  • Assist with internal office moves/workspace relocations

  • Process work orders and handle courier activities

  • Provide assistance and support to other departments (reception, etc.) as needed

  • Some physical requirements (light lifting, pushing carts, floor runs, etc.)

Qualifications:
  • Minimum of one year relevant experience

  • High school degree or equivalent required

  • Experience with Microsoft Office (Word, PowerPoint and Excel), including Outlook email and calendar

  • Professional, positive attitude and strong commitment to customer service

  • Attention to detail and the ability to work in a fast-paced environment while maintaining a calm demeanor

  • Demonstrate initiative, strong work ethic, and willingness to learn new skills

  • Reliable and punctual

  • A high regard for confidentiality is essential
