Job Description Summary

The Facilities Operations and Student Engagement Manager will be responsible for managing the administrative, operational, and student engagement functions of the Facilities Department at Wesleyan College. This role combines the responsibilities of overseeing the administrative processes for the facilities team with direct engagement with the student community, ensuring that their needs and expectations are met regarding campus facilities.

Job Description

Administrative Management:

  • Manage and oversee all administrative processes related to the Facilities Department, including budgeting, invoicing, and financial reporting.
  • Supervise a team of administrative professionals, ensuring accurate execution of administrative tasks.
  • Serve as the liaison between the administrative team and the Facilities, Custodial, and Office teams.
  • Prepare, analyze, and distribute reports to key stakeholders, utilizing software tools like Excel for data analysis.
  • Ensure accurate tracking and reporting of costs associated with tools, equipment, supplies, and labor.

Student Engagement:

  • Develop and maintain strong relationships with students, student organizations, and campus partners to understand and address their facility-related needs.
  • Collaborate with the facilities management team to implement solutions that support student needs and optimize campus facilities.
  • Monitor and assess the effectiveness of facility management services from a student perspective, identifying areas for improvement.
  • Organize and participate in events, meetings, and forums to engage with the student community and gather feedback on facility services.
  • Prepare and present reports and proposals to university leadership on student engagement initiatives.

Safety and Compliance:

  • Participate in and support the regional safety program to promote an injury-free workplace.
  • Ensure all operations comply with university procedures and corporate process goals.

Qualifications:

  • High School Diploma or Bachelor's degree in Business Administration, Hospitality, Facilities Management, or a related field.
  • 3-5 years of experience in facilities management, administrative management, or a related role, ideally in a higher education environment.
  • Proficient in Microsoft Office Suite, particularly in Excel and facility management software.
  • Strong interpersonal and communication skills with the ability to engage effectively with a diverse student population.
  • Excellent organizational skills with a strong attention to detail.
  • Ability to work effectively in a fast-paced, high-volume environment.
