The Department Assistant - Logistics is responsible for day-to-day facilitating maintenance service requests with teams and vendors, performing field visits, calendar and mailbox management, research, meeting coordination, payroll and providing support for senior staff within the Building Maintenance & Operations Department. The Department Assistant provides comprehensive administrative and clerical support to facilitate the efficient and effective operation of the team in support of City Schools' mission and values.
Essential Functions
- Performs exceptional administrative support and customer service activities within the Department.
- Provides excellent customer service, exercise discretion and diplomacy in all interactions and proactively anticipate and manage challenges.
- Utilizes on-line information resources, data tools and computerized maintenance management system for information retrieval and data entry; can include site visits
- Coordinates formal content or document management systems, for example Microsoft SharePoint.
- Responds to queries by searching and retrieving files.
- Prepares statistical summary reports and spreadsheets using Excel.
- Performs general administrative and clerical duties including word processing, copying, faxing and filing.
- Serves as departmental receptionist, answering phones, greeting visitors and processing and composing all incoming and outgoing correspondence.
- Performs data entry and can prepare presentations, charts, memos, reports, forms and other documents for use throughout department with demonstrated proficiency using Microsoft Office applications (i.e., Word, Excel, PowerPoint, Access); proofread for accuracy and clarity of final copy.
- Processes sensitive and confidential information.
- Receives and directs inquiries to appropriate staff.
- Processes, files, and maintains updated new hire and employee personnel data changes. Keeps abreast of current policies relating to Human Capital.
- Responds to colleagues, customers and partners in a courteous, cooperative and constructive manner; requires support to other department personnel by responding to requests for information and assistance; requires facilitating a respectful, friendly atmosphere in the workplace.

Desired Qualifications
- High School Diploma; Bachelor's degree from an accredited college or university preferred.
- Two years of administrative support experience with demonstrable skills in effectively collecting, compiling, analyzing and assembling record for producing reports.
- Skilled in the use of computer applications including Microsoft Office, Outlook, and district information systems such as Oracle, K12 Buy, or similar software.
- Knowledge of building construction, renovation and maintenance methods and materials.
- Ability to coordinate large construction, renovation and maintenance programs.
- Ability to interpret and prepare building construction plans and specifications.
- Ability to evaluate the urgency of building construction and renovation needs and to establish priorities.
- Ability to evaluate construction and renovation cost estimates and bids.
- Ability to establish and maintain effective working relationships with agency officials, contractors, architects, engineers and others.
- Interpersonal skills that ensure effective team building.
- Good verbal and written communication skills.
- Proficient in the knowledge and use of technical computer applications.
