SUMMARY OF POSITION

The Vaccine Site Lead is responsible for program coordination of the Vibrant Health Vaccine Program. This includes: vaccine ordering, inventory and reconciliation, storage and handling, temperature monitoring, transfer of vaccines, and participating in the emergency management plan.

ESSENTIAL JOB DUTIES

Vaccine Procurement and Management:

  • Purchase vaccines and track vaccine supplies
  • Maintain Vaccine Management Plan
  • Return expired vaccines
  • Receive vaccine shipments and manage daily inventory
  • Label and store both state supplied and private stock vaccines
  • Order vaccines after bi-weekly inventory reconciliation

Equipment Oversight:

  • Understand, monitor, and troubleshoot equipment, including digital data loggers (DDLs), overflow fridge/freezer, and Accuvax machines
  • Participate in the annual Sensiphone recalibration

Temperature Monitoring:

  • Capture minimum and maximum temperatures twice daily from data logger thermometers
  • Upload DDL data to KDHE bi-weekly
  • Oversee vaccine pack-out process and manage temperature excursion protocols
  • Serve as the rotating primary on call person for the Data Logger and Sensaphone alerts.

Inventory and Reconciliation:

  • Submit vaccine orders in the appropriate venues and channels, keeping adequate supply on hand
  • Perform bi-weekly inventory reconciliation
  • Review and fix borrowing reports weekly
  • Monitor and reconcile overflow counts
  • Create, monitor, and archive vaccine lot numbers in eCW
  • Check for duplicate vaccine records in WebIZ
  • Enter vaccine records for MO patients into ShowmeVax

Liaison and Communication:

  • Act as the on-site liaison for VAERS reports, MA questions, and potential temperature excursions
  • Conduct weekly meetings with clinical staff to understand and relay vaccine needs
  • Answer vaccine-related questions or concerns from clinical staff
  • Help train new clinical staff on vaccine processes and procedures

Documentation and Compliance:

  • Update and provide VIS forms to patients
  • Maintain on-site binder information
  • Monitor and correct patient information Borrowing Reports
  • Participate in 6 month audits with KDHE
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
  • 1-2 years in a medical clinic setting
  • Current BLS
  • Yearly completion of annual VFC training.
  • Ability to determine processes, procedures and understand regulations regarding vaccines and vaccine management.
  • Strong attention to detail.
  • Excellent verbal and written communication skills
  • Advanced computer skills including but not limited to use of Word, Excel, Outlook and electronic medical records
  • Experience with cold-chain process, VFC Program, and vaccine administration knowledge a plus

  8. Exhibit experience and working knowledge of local community resources
  9. Hold current drivers' license and reliable transportation.
  10. Travel to all parts of the facility and throughout the community.

  • Employment is contingent upon successful clearance from Criminal, Kansas and Missouri Child/Elder Abuse and Neglect, Sex Offender background investigations, TB testing, pre-employment drug testing, and verification of Hepatitis-B, flu and COVID-19 immunizations.
  • Occasional evening and weekend availability are required.
