Opportunity: Operations Coordinator

CC&N is seeking an Operations Coordinator to join our team! We are looking for individuals who are detail oriented and can work in a fast-paced environment. You will learn from the best. In this position, you will provide support for the day-to-day operations of the organization and work hand-in-hand with departments across the company to process the full life cycle of projects and service visits from initial set up to final billing and collection of payment.

To Thrive in this Role, You Will...

  • Set up new customers, projects and service calls in ERP system
  • Provide exceptional customer service and responsiveness to internal and external customers regarding status of projects/service calls
  • Manage job issues within ERP Software (Open PO's, labor corrections, cost and billing inquiries, etc.)
  • Invoice and billing of projects and service calls including AIA forms, lien waivers, and other applications for payment
  • Apply cash received in ERP system and work with customers to collect unpaid balances
  • Utilize your continuous improvement mindset to leverage technology to create efficiencies
  • Collaborate closely with customers and finance department to ensure billings are in compliance with sales tax regulations and accurate records are maintained.
  • Assist project management and business development teams with prequalification requests, bid requests, and other requests as needed
  • Administrative tasks such as ordering and filling supplies, answering the phone, welcoming visitors, and sorting mail
  • Back-up duties for various departments including accounts payable, accounting, and warehouse
  • Other duties as assigned

You Bring a Track Record of:

  • High School Diploma or GED
  • 5+ years of experience in operations, administration, internal sales, or a similar coordination role, preferably in a technical, construction, or service-oriented industry
  • Exceptional attention to detail with strong follow-through capabilities and organization skills
  • Excellent verbal, written, and listening interpersonal communication skills, with the ability to interact professionally with customers, team members, technicians, and stakeholders at all levels
  • A mindset dedicated to continuous improvement, teamwork, and possessing a high level of emotional intelligence
Physical Requirements:
  • Perform "desk duties" such as sitting, typing, writing, filing and speaking on the telephone
  • Perform computer work utilizing monitor, mouse, and keyboard
  • Lift, bend, and carry materials weighing 50-75# unassisted
