GENERAL SUMMARY/OVERVIEW STATEMENT:

Performs basic to general secretarial or clerical duties related to the department functions. Receive telephone calls and personal callers, handling inquiries independently or directing to another party. Receives incoming mail and email; answers routine correspondence. Maintains daily calendar and make appointments. Types letters, runs reports, maintains or assists in maintaining files and records. Other related items as required. This is an entry-level support role.

Candidate will provide administrative and evaluation support to director and managers. Specific duties include, patient data entry/scanning, data preparation, data analysis, forms filing, schedule staff/dept meetings and take minutes, and other tasks as assigned. Coordinate eBASIS related customer services and troubleshooting, and Training Registration, and Scheduling.

PRINCIPAL DUTIES AND RESPONSIBILITIES



  • Process and scan patient survey forms and transcribe patient feedback based on department guidelines
  • Prepare outcomes reports under direction of department Director.
  • Provides coverage for eBASIS customer service: respond to eBASIS clients about questions with services being received; and update eBASIS Training Modules as needed.
  • Contribute to ongoing and department research projects including literature review, data preparation (excel), manuscripts review/proofread, slides preparation for presentations.
  • Perform preliminary data analysis using, SPSS or MS Access under direction of Director.
  • Organizes and coordinates meetings/conferences.

Qualifications

Education: Minimum HS Diploma or equivalent. Associate/bachelor's degree preferred. Minimum 1 year of relevant experience required.

SKILLS/ABILITIES/COMPETENCIES REQUIRED



  • Ability to coordinate data and organize schedules and prioritize resources
  • Expertise using Microsoft Office Suite: Excel; Word; PowerPoint; and Outlook
  • Ability to quickly learn and apply new technology (spss, teams, scanning software, etc...)
  • Takes initiative, uses all available resources; ability to prioritize; follows through to completion
  • Must be self-motivate and committed to excellence and continuous improvement of processes
  • Ability to prioritize multiple requests and deadlines while maintaining flexibility and dedication to task
