Summary:

The Administrative Assistant will support the Distribution Operations Center (DOC) Vaccine Distribution at USAMMA contract, which provides vaccine distribution

management and medical quality control messaging. The DOC provides bio-defense vaccine distribution support to the Department of Defense (DoD) - anytime, anywhere. The DOC also provides MMQC messages and HAR notifications to the DoD in a timely manner to support the safe delivery of health care to all beneficiaries and operational forces.


Responsibilities

Essential Job Functions:

  • Provide general administrative support to the DOC, including scheduling meetings, preparing reports, managing communications, and maintaining records
  • May support the distribution of vaccines to DoD entities, including tracking shipments and coordinating logistics as required
  • Facilitate the dissemination of Medical Materiel Quality Control (MMQC) messages and Healthcare Acquisition and Regulatory (HAR) notifications across the DoD
  • Maintain accurate and up-to-date records of vaccine distribution activities, communications, and compliance reports
  • Assist with the preparation of documents, presentations, and reports for leadership and internal/external stakeholders
  • Coordinate with internal teams, contractors, and DoD personnel to ensure efficient vaccine distribution and messaging processes
  • Monitor and maintain communication channels to ensure smooth workflow and issue resolution
  • Perform other administrative tasks as needed to support the operational goals of the DOC

Qualifications

Necessary Skills and Knowledge:

  • Strong organizational skills with attention to detail and accuracy.
  • Excellent verbal and written communication skills, particularly in handling sensitive or confidential information
  • Proficiency with office software (e.g., MS Office Suite: Word, Excel, PowerPoint, Outlook)
  • Ability to multitask and prioritize work in a fast-paced, deadline-driven environment
  • Strong interpersonal skills with the ability to collaborate effectively with cross-functional teams

Minimum Qualifications:

  • Minimum 2+ years of administrative experience, preferably in healthcare, logistics, or government/military operations
  • Experience with data analysis and reporting
  • Must be a US citizen
  • Ability to successfully pass an employment background check
  • Must have secret clearance

Preferred Qualifications:

  • Associate's degree in Business Administration, Healthcare Administration, or a related field
  • Experience working with government contracts or within the Department of Defense is a plus
  • Familiarity with medical logistics, vaccine distribution, or quality control messaging is desirable

The salary range for this position is $55,000 to $65,000 annually.
