Essential Duties And Responsibilities

Within a team environment, this position will perform the following responsibilities:

Space Management and Forecasting 60%

Build and develop strong relationships with internal stakeholders and cross functional partners to discuss current and future space requirements, gather relevant head count, and plan data to keep ahead of key business updates, growth, and expansion opportunities. Use creative and analytical thinking to aggregate data from multiple sources and generate solutions for occupancy problems. Provide analysis to help formulate short and long term real estate, facility and operational strategies. Develop professional presentations with information from the Tango Space planning software for senior leadership with executive reviews and recommendations. Perform utilization studies and analysis to inform future needs and opportunities for efficiencies; determine impact of use on future planning in an evolving work environment. Develop site occupancy plans for supply and demand utilizing the space planning software. This will include analysis of forecasted headcount and seat supply projections, create graphs, stacking plans, move scenarios, challenges, and pros vs. cons for each recommendation. Assist in managing space and occupancy policies, processes, and procedures that support workplace experience and real estate portfolio strategies. Participate in the implementation and administration of space planning tools that can be utilized across all areas of the organization. Work as an integral member of project management teams.

Support for Moves/Logistics 20%

Plan, support, and execute small to large moves which includes, but are not limited to: the review of space and furniture plans, coordination of schedules, attend/lead meetings, perform inspections, and monitor departures/arrivals.

Occupancy Validation Support 20%

Manage and track all occupancy changes, maintain square footage allocations. Develop building occupancy strategy including block & stack plans, department structure reorganization plans, and all other related space planning needs. Performance of semi-annual occupancy audits to ensure data integrity.

Gather information from internal customers including staffing plans and business development strategies in order to prepare quarterly, annual and multi-year plans. Communicate regularly and effectively with multiple levels of leadership regarding headcount and space forecasting. Ensure all workplace solutions fall within the master plan and workplace strategies. Monitor and drive occupancy metrics to target goals.

Job Specifications

Minimum Required

  • Education & Experience
  • Bachelor's degree in Architecture, Planning, Design or other relevant field and 2 years of experience in similar design services, corporate interiors and/or workplace operations;
  • Or a High School Diploma / GED and a minimum of 4 years of experience in similar design services, corporate interiors and/or workplace operations;
  • Or any combination of education and experience that will enable a candidate to successfully perform the functions of the job.
  • Professional/Technical Certifications: CAD
  • Technical Requirements:
    • Working knowledge and experience with computer programs, such as space planning software, work order tracking, Microsoft Office Suite, Visio or other graphics software.
    • An understanding of compliance related regulations to include: Fire and building codes, ADA requirements, Audits and Inspections.
    • Intermediate knowledge of AutoCAD, Microsoft office suite, PowerPoint, etc. (Advance knowledge a plus.)
  • Bilingual Required: n/a
  • Travel: Hold and maintain current auto insurance, current California Driver's License and DMV clearance required to be an approved driver for CCRC, whether driving own or CCRC vehicle. Minimal travel required within CA. Travel to Los Angeles and San Bernardino Counties 10%. Travel to Sacramento annually.
  • Work Schedule: Full time. Must be available to work Monday thru Friday and occasionally Saturday's depending on assigned projects.
  • Work environment: Primarily office work environment, some manual / physical work, sometimes indoors or outdoors.
  • Background & Health Clearance Requirements: n/a
    • COVID-19 Vaccination: As a federal contract holder, CCRC is required to ensure that all CCRC employees are fully vaccinated or have an approved medical or religious exemption on or before December 8th, 2021. This requirement includes all CCRC employees regardless of where they work (including all new hires before they begin work at CCRC).

MVR / DMV clearance in accordance with CCRC's liability insurance provisions: For positions where driving is required.

Child Development Permit: For positions working in an educational capacity (California Education Code Sections 44242.5, 44340, and 44341)

CPR / Pediatric CPR certification: For certain identified positions working directly with the public in a child/ community care or child / community care adjacent setting (CA Health & Safety Code 1596.865 - 1596.866)

Federal Debarment Checks: For positions acting in a principal capacity to federal funds (Head Start Program Performance Standards 1304.11, Code of Federal Regulations Title 2 Grants and Agreements 2.180.320 and 2.180.995)
