Description
Under the direction of the Clinical Administrative Manager the CNS Clinical Support person will assist in the coordination of the clinical administrative duties of the Central Nervous System (CNS) and, if need it, or other programs in Radiation Oncology. Reports directly to the Clinical Administrative Manager, and works in conjunction with the MDs, physicists, nurses, practitioners, radiation therapists and other designated program personnel. Responsibilities include:
- Schedules patient Consults, simulations, new start and follow-up appointments for CNS Radiation Oncology and when needed other patients. Informs patients and staff of appointments and changes related to therapy and appointment changes by patients. Critical point person for communication with physics, therapists, RN's and other care providers (i.e. Radiology, Neurosurgery) for effective and timely scheduling.
- Coordinates Treatment Scheduling with the ARIA Task Force (ATF) Scheduling team to ensures Sim Request Forms and Intents are completed - when need it
- Assists and monitors insurance/financial clearance for all patients.
- Manages systems to receive and distribute timely patient referrals to and from the Radiation Oncology program.
- Participates in development of CNS Radiation Oncology documentation/QA activities.
- Obtains and prepares records/films in preparation for appointments and tracks location of materials. Coordinates and facilitates patient rounds with team.
- Coordinates information flow among CNS Radiation Oncology and multidisciplinary teams (physics, nursing, and MD, Neurosurgery and Medical Oncology)
- Builds and maintains effective working relationships with administrative staff, nurses and MD's from other departments, as well as with physics, therapists, nursing, MD, and administrative staff from Radiation Oncology department.
- Provides coverage for other programs as directed by Clinical Administrative Manager and when necessary.
- All other duties assigned.
Qualifications
- High school diploma or GED required; post-high school education preferred.
- Minimum one year of applicable work experience required.
- Additional training in office systems preferred.
- Knowledge of practice operations and standards.
- Understanding of procedures including filing, copying, scanning, printing, and faxing.
- Ability to use phone system (answer and screen calls, put on hold), answer routine questions, and give routine information.
- Ability to interpret information as appropriate, answer routine questions in the most professional manner, and communicate in a professional, courteous, clear, and concise manner.
- Ability to manage work processes in a neat and orderly way and to sort and alphabetize.
- Ability to manage multiple tasks effectively, follow established protocols, and work within systems.
- Ability to correspond and communicate with others clearly and effectively in writing (via e-mail, memo, or interoffice note) and to take complete and accurate messages.
- Ability to type and enter data at an entry level. Entry level understanding of applicable systems.
- Understanding of the appropriate use and importance of related forms.
- Basic understanding and use of medical terminology.
- Basic comprehension of insurance types and referral process.
- Basic comprehension of registration and fiscal information.
- Knowledgeable and compliant with all hospital, State, and Federal requirements (where applicable to job performance), including policy and procedures with The Joint Commission and HIPAA.
