Uafs.edu Summary of Job Duties:This position is responsible for supporting grant preparation and compliance, overseeing revenue and expense management, managing payroll and benefits reconciliation, and performing various financial tasks. Key duties include assisting with grant proposals, monitoring grant budgets, ensuring university compliance in contracts and agreements, and processing financial transactions in Workday. The role also involves reconciling payroll benefits, preparing tax reports, and supporting month-end and year-end financial closures. The individual will work closely with directors, university staff, community partners, and support both the Center for Economic Development and the university as a whole, requiring strong organizational skills, attention to detail, and proficiency in accounting and financial software. The Grants and Financial Operations Analyst reports directly to the Senior Accountant and has a dotted-line reporting relationship with the Associate Vice Chancellor for Economic and Workforce Development. Qualifications:

Required Education and/or Work Experience: Minimum qualifications include the formal education equivalent of a bachelor's degree in accounting or a related field, and at least three years of professional work experience in accounting or bookkeeping.

Preferred Education and/or Work Experience: Five or more years of accounting or related experience, four years of experience using Microsoft Office programs, two years of experience with the Workday business process system, highly detail-oriented with good organizational skills, time-management, self-motivated, and interpersonal skills. Experience with grant accounting, payroll, or general ledger analysis and reconciliation skills.

Essential Job Duties and Responsibilities:

Grant & Program Support

  • Assist in the preparation, submission, and tracking of grant proposals and applications. Specifically, this includes all OSD grants and the existing Economic Development Administration University Center grant.
  • Coordinate grant-related activities, ensuring compliance with grant requirements and deadlines.
  • Monitor grant budgets, expenditures, and reporting to the appropriate director.
  • Maintain accurate records and documentation related to grants.

Revenue and Expense Oversight

  • Maintain and present current revenues and expenses to directors and managers to ensure that expenses stay in line with program revenues.
  • Collaborate and maintain the contract and agreement process regarding CED activities to ensure university compliance.
  • Assist directors regarding the approval of contracts and agreements for the timely execution of approvals from both the legal and procurement areas.
  • Assist directors with event budgets to ensure event revenues and costs are accurately posted to the correct Workday areas.
  • Process office expenses, initiate purchase orders and invoices in Workday
  • Create and request requisitions per university procurement guidelines, including foundation accounts.

Payroll benefit payments

  • Reconcile encumbrances and payments for retirement, health, and other employee benefits associated with university semi-monthly payrolls.
  • File required retirement reporting.
  • Oversee payment and reconciliation of federal and state taxes.
  • Prepare and file quarterly 941 reports.
  • Provide remote worker tax reports and assist with payment of withholding, unemployment, and local taxes.
  • Work to ensure taxes reported match the W-2 reports prepared by payroll.
  • Monitor payroll benefits and tax accounts.
  • Investigate and resolve payroll supplier payment and account differences.

Other Job Duties and Responsibilities

  • Perform other responsibilities as required to support other grant programs.
  • Create ad hoc payments and bank transactions.
  • Reconcile general ledger activity between the University and the UAFS Foundation.
  • Prepare allocation journals.
  • Assist in month end and year end closing duties.
  • Other duties as assigned.

Working Relationships: The Grants and Financial Operations Analyst reports directly to the Senior Accountant and has a dotted-line reporting relationship with the Associate Vice Chancellor for Economic and Workforce Development. The position involves extensive contact with university employees at all levels, community leaders, and professional colleagues. Must maintain positive collaboration with regional employers in business and industry. Frequent contact with personnel from other agencies, institutions and the general public is a requirement. Recurrent contact and collaborations with unemployed or underemployed individuals to business professionals at the C-Suite level is typical.

Special Job Dimensions: The position requires some physical demands such as standing for prolonged periods, lifting, bending, pushing, and travel. Work is preformed primarily in an office setting with frequent meetings and events both on and off site. Occasional travel required for attendance at conferences and out of town events. Extended hours sometimes required. Typical office hours are 8:00 am - 5:00 pm.

Salary Information:

$45,000-50,000/year
