Posting Summary |
Rutgers, The State University of New Jersey, is seeking an Administrative Coordinator for the Office of Academic Scheduling and Instructional Space. This position is primarily responsible for effectively scheduling events in Chancellor owned academic space, as well as facilitating course and exam scheduling. The Administrative Coordinator will be a secondary contact with Institutional Planning and Operations (IP&O) to manage non-technology, emergency facilities issues with classrooms during normal business hours.
The Office of Academic Scheduling and Instructional Space is a high visibility, high-volume, deadline-sensitive operation that manages classroom scheduling and first-year sectioning, exam scheduling, event scheduling, and related data analysis. Reporting to the Rutgers-New Brunswick Chancellor Office,
OASIS schedules more than 25,000 course sections and 4,000 final exams per year.
Among the key duties of this position are the following:
- Schedules events in Chancellor owned academic space.
- Liaises with academic departments, Student Affairs, high-level university officers, outside groups, and others to allocate space effectively and efficiently.
- Ensures space needs are prioritized and met in a way consistent with the university mission, all while ensuring optimal space utilization within the instructional space resources of Rutgers-New Brunswick.
- Collects information from departments via web-based systems.
- Analyzes and reviews requests for accuracy and data consistency.
- Processes changes to update the scheduling database in the student information system.

Qualifications
Minimum Education and Experience |
- Bachelor's degree or an equivalent combination of education and/or experience.
- Two (2) years of relevant experience that demonstrates understanding of scheduling and other processes within a higher education or similar field.

Required Knowledge, Skills, and Abilities |
- Experience working on highly visible, extremely critical tasks related to major events.
- Proven ability to work with a large and diverse array of programs and departments, and with high-level constituents such as deans' offices.
- Outstanding relationship-building and communication skills, discretion in managing and completing competing tasks, and ability to work within an environment of high-level and ever-shifting priorities.
