Job Description

The School of Medicine - Department of Medicine is seeking a highly motivated, engaged, and committed Office Support Assistant Sr. who is interested in joining a fast-paced, highly productive team.

Job Duties:

1. Support Vice Chair of Clinical Operations
2. Compile monthly reports monitoring the Department & Division clinical workload, patient satisfaction scores and work with division administrators and medical directors on discrepancies to budgeted numbers. Run reports, export as spreadsheets, word documents to prepare monthly productivity reports for Vice Chair to review. Partner with department leadership to follow up on discrepancies or issues uncovered through monitoring of reports and key metrics
3. Maintain and manage outlook calendar for Vice Chair. Monthly development of Clinical Activities Committee Agenda and presentation development as well as scheduling, attending and taking meeting notes.
4. Attend other meetings as designated by Vice Chair and Department Administrator, providing agendas and meeting notes.
5. Develop an in-depth working operational knowledge of each division related to clinical activities and administrative support and serve as a backup in the event of the absence of a division lead or division administrator.
6. Provide on-demand ad hoc reports, providing data in spreadsheets and word documents, PowerPoint, and publisher.
7. Gather applicable data and assist the administrative staff in the preparation of all presentation materials for meetings and presentations
8. Develop and maintain provider profile data utilizing departmental tracking spreadsheets
9. Assist with all other administrative support as assigned by the Vice Chair as it relates to clinical operations, metrics tracking and reporting, division operations, reporting to meet strategic plans.
10. Support Division Administrator and Faculty
11. Answer phone for Pulmonary, Critical Care division, direct calls, take messages
12. Handle faxes for Pulmonary, Critical Care division
13. Daily mail distribution
14. Responsible for picking up mail on rotation basis for CS&E building
15. Assist faculty with vacation and CME requests
16. Use Pro-Card for Pulmonary, Critical Care expenses
17. Submit receipts to financial department
18. Schedule zoom and in person meetings
19. Monthly division meeting, create agenda and minutes
20. Twice a year do OPPE paperwork
21. Create faculty call schedules, keep updated
22. Put call schedule in MUHC call directory and changes on spreadsheet
23. Day to day office tasks
24. Count doctor's days worked, create form for them to sign
25. Make sure all faculty get their flu shot and all paperwork is completed
26. Keep website up to date
27. Send PFT report on Friday
28. Do Tuesday Report weekly
29. Learn Power BI
30. Page doctors as needed
31. Order business cards
32. Attend weekly staff meeting
33. Update paging system as faculty and fellows leave and arrive
34. Promotion and Tenure within Department of Medicine

Shift

8:00 am - 5:00 pm Mon - Fri

Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.

Anticipated Hiring Range

Salary Range: $16.72 - $21.50 hourly
GGS Grade: GGS-007
University Title: SENIOR OFFICE SUPPORT ASSISTANT
